Department Overview

Join the Residential, Retail and Supply Chain Services (RRSS) team at UC San Diego, a dynamic and innovative campus department dedicated to delivering exceptional service to the university community. As a valued RRSS team member, you will be contributing to a broad and complex organization consisting of five key units: Housing, Dining and Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC). With a focus on innovation and customer satisfaction, RRSS aims to inclusively meet the diverse needs of the UC San Diego community while fostering a sense of belonging for our students and staff.

As a member of the HDH team, you will be part of a self-funded unit with over 900 staff employees, 1,000 student employees, and an annual operating budget of $250 million, providing housing and dining services to over 20,000 students, faculty, staff, and their families. POSITION DESCRIPTION

Accountable for the administration of HDH housing programs, including contract documents and financial records. Assist with special housing programs as needed. Provide comprehensive administrative support including but not limited to processing various types of housing contracts, accurately entering data into various campus database systems to ensure billing accuracy, monitoring housing student accounts and updating the system as changes and add-ons occur. Schedule batch processing of data with programmers for system enhancements and resolving system Close issues. Close interaction with key departments such as Financial Aid, Student Business Services, Central Cashiers, Admissions, Residence Life, Residential Services and Housing Allocations, and Academic Internship Office is required to effectively service all clients. Participate in division and campus outreach programs and provide excellent customer service at all times.

The housing services coordinator provides individual guidance to customers regarding the housing process including: the housing application, housing contracting, housing assignment, basic billing information, termination, or cancellation process. Additionally, the incumbent provides detailed information regarding housing policies and procedures to the customer and explain their rights and ultimate responsibilities under Federal, State, and University regulations. Function as a resource to support staff on issues such as researching financial discrepancies, escalated customer service problems, and vendor concerns. Collaborate with key departments such as Financial Aid, Admissions, Enrollment Management, Student Financial Services, and Central Cashiers.

QUALIFICATIONS
  • Demonstrated ability to use personal computers and various software applications including, but not limited to, relational databases, SQL-DSE, Windows, Access, Word, Excel, and Outlook.

  • Experience in cash collections and an ability to develop procedures and processes.

  • Demonstrated ability to understand, analyze and interpret financial data and computer-generated reports.

  • Knowledge of accounting principles and practices, including a proven ability to apply these theories to various types of financial transactions.

  • Excellent interpersonal skills, including an ability to work with a diverse group of people while communicating clearly and effectively in grammatically correct English on the telephone, through e-mail, and in person; including skill in effectively representing the campus and other university organizations.

  • Organizational skills, ability to prioritize multiple job functions with frequent interruptions, to meet multiple deadlines and changing priorities to ensure smooth work flow within policies and procedures as they relate to a variety of administrative functions.

  • Demonstrated knowledge of data processing practices and application terminology, plus analytical reasoning skills to develop additional uses for system and enhance existing system.

  • Must be detail-oriented and accurate, and ability to work independently and effectively with indirect supervision to complete tasks, meet deadlines, make independent judgments and decisions.

  • Knowledge and ability to maintain confidentiality of required records (such as student and non-student files) and ensure privacy rights.

  • Demonstrated ability to work with the public in a professional manner, interacting sensitively and effectively. Ability to collaborate, interact and communicate effectively with a diverse population, including the university community, parents, staff and students, taking account of differences in social, cultural, professional, and educational backgrounds.

  • Excellent oral and written communication skills, and attention to detail. Ability to speak effectively in public, to present information clearly and concisely and to work effectively with diverse individuals and groups.

  • Proven experience with creative and strategic outreach programs.

SPECIAL CONDITIONS

  • May be requested to drive a University vehicle. Must have current California Driver License, maintain good driving record and participate in the DMV pull program.

Mandated Reporter: This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18. It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
