Job Summary:
The Business Administrator supports the operations of the English Department, a large department that offers three graduate programs, two undergraduate majors and several minors in literature and creative writing. The BA provides strategic input to faculty administrators on policy and procedures; oversees development and implementation of new program initiatives; manages all marketing and communications; and trains and manages five permanent members of staff. Administers operational, financial, and business functions in support of the department's mission and in coordination with central offices such as HR, Budget, Facilities, IT, and Provost. Implements existing policy and ensures the effective, compliant, and efficient completion of daily administrative operations. Represents business area on internal and/or external administrative affairs by exchanging information. Serves as the Facility Manager for University Hall, one of Northwestern's most iconic buildings.
This is a full time position that predominantly works on-site with limited opportunities for remote work.
The target hiring rage for this position is between $63,079 - $88,705 per year. Salary will be determined the by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.
Responsibilities include:
- Staff Management: Supervises five staff members as well as work-study students. Establish schedules, assign and supervise tasks, approve timesheets, prepare and deliver yearly evaluations and provide ongoing counseling and feedback. For new staff, define job parameters, draft job descriptions, interview, recommend hires, supervise onboarding and lead training. Responsible for all staffing decisions. Oversee the portfolios of the staff including graduate and undergraduate program administration; special events coordination; faculty hiring administration; financial transactions; departmental publications; and the administration of the journal, Renaissance Drama.
- Budget Management: Prepare annual department budget and present to chair of department for approval; manage all departmental support accounts totaling $4 million; collaborate and coordinate with chair(s) regarding graduate student funding, graduate student and faculty travel and research allocations, endowed fund expenditures, and speaker's fund distribution with other departments. Authorize all department and research account expenditures. Manage computer acquisitions and maintenance for all computer and software purchase decisions for the department.
- Course Scheduling: Create and implement annual scheduling of approximately 200 courses to present to Chair for final approval; set teaching times, set enrollment ceilings, and manage all course-related matters; respond to issues with classroom reservations and special needs of teaching faculty, and coordinate graduate funding with departmental TA needs. Identify replacement teaching needs and prepare short-term hiring materials.
- Faculty Support: Provide initial training and counseling of faculty administrators regarding their annual schedule responsibilities, fund supervision, and other tasks relating to the daily operations of the department. Provide ongoing mentoring for new faculty and department officers. Coordinate with chairs and directors all procedures and reports required by the dean's office; participate in the development and implementation of department policies; promote the integrity of the department and enforce department and university procedures. Administer department-level reappointment, tenure, and promotion processes for continuing faculty; process appointments of non-continuing faculty, including obtaining appropriate visas.
- Building Management: Serve as building manager for University Hall consisting of 12 classrooms and 60 department and faculty offices. Assign offices, organize moves, and issue keys. Create and implement emergency evacuation plan, oversee work of contractors, engineers, facilities management, and university police. Supervise maintenance of classroom and office equipment.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree in a major such as business, accounting or related; or appropriate combination of education and experience.
- At least 4 years' administrative experience including budgets, finance, grants, facilities, &/or human resources; or other relevant experience.

- Excellent interpersonal skills, including strong verbal and written communication skills, including the ability to communicate effectively with a wide range of people both inside and outside the university to enable effective relationship building,
- Strong organizational skills. broad based knowledge of all aspects of NU.
