Senior Assistant Corporate Secretary (Writer)

Summary

Informs and contributes to the structuring, drafting, negotiating and/or approval of minutes, letters, policies and other documents. Assists the Corporate Secretary's Office in management of the Authority and Canal Boards, the associated committees, and advisory boards. Initiates the Authority's rulemaking and ratemaking activities; organizes public hearings on matters requiring public consideration or public comments. Submits specified reports and filings to the Authorities Budget Office, and the Office of the Comptroller as well as other agencies pursuant to various sections of the Public Authorities Law and General Municipal Law. Monitors and ensures Board members' compliance with numerous training requirements. Assists in various administrative duties, including filing and maintaining documents, processing reimbursements and maintaining credit card accounts.#LI-CJ1

Responsibilities
  • Communicate regularly with and build relationships with board and committee members
  • Prepare all aspects of meetings of the various boards and committees including coordinate meeting room issue with facility manager and scheduling staff and ensure all supplies necessary for a successful meeting are available
  • Assist in the distribution of meeting materials to Board members, staff, and general public; convert all meeting materials into various formats for posting on Director's Desk, Powernet and external website; ensure that WNY and Recharge applications are available to members on an FTP site; ensure the quarterly posting of confidential information on directors desk
  • Review and assess requests made to Trustees, track members' mail and direct to proper staff to draft response, respond to emails and phone calls directed to Trustees
  • Assess when sensitive information about members should be shared with senior management
  • Function as the gatekeeper for board electronic portal including issuing logon to members and select staff and training members and staff on use of portal
  • Prepare annual filings
Knowledge, Skills and Abilities
  • Able to observe confidentiality and discretion
  • Excellent communication skills, including writing and proof reading skills
  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Ability to accomplish projects with little supervision
  • Able to coordinate and plan events
  • Knowledgeable about online board portals
  • Able to post materials
  • Proficient with Microsoft Office programs, including Word, Excel and PowerPoint
Education, Experience and Certifications
  • Bachelor's degree
  • 4 years of relevant experience or
  • Associate's Degree and 8 years of relevant experience is required
Physical Requirements

At more senior levels, travel a minimum of 5 times a year within NY State

The salary offered will be determined based on the successful candidates' relevant experience, knowledge, skills, and abilities.
