Essential Duties and Responsibilities: Administrative Assistant Job Responsibilities: * Provide executive support to VP-Government Affairs and other departmental staff, including scheduling meetings, managing calendars, preparing reports, and coordinating travel arrangements * Prepare presentations, documents, and correspondence as required * Manage office supplies and oversee office logistics to ensure smooth daily operations * Manage office expenses including coding and payment of invoices and working with Accounts Payable and vendors * Assist with departmental budget process, including preparing budget and reports and coordinating with Financial Planning and Reporting department * Work with vendors and Contract Analyst to request and prepare contracts in Apttus * Prepare and file state lobby disclosure reports Political Action Committee (PAC) Management Job Responsibilities: * Coordinate PAC activities, including fundraising, contributor outreach, and communications * Work with IT to maintain PAC website and EnergySpeaks website * Assist with the development and execution of PAC strategies, in alignment with company goals and regulatory requirements * Process and distribute disbursements to candidates; maintain bank accounts * Work with Payroll to coordinate payroll deduction contributions from employees * Monitor and ensure compliance with all federal, state, and local PAC regulations * Prepare and submit required PAC filings and disclosures, ensuring accuracy and compliance * Serve as the primary point of contact for PAC inquiries and maintain regular communication with PAC members and contributors Requirements: Education and/or Experience, Knowledge, Skills & Abilities: To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. The requirements for this position are listed below: * 2+ years of administrative experience * High school diploma or equivalent; Bachelor's degree preferred, but not required. * Excellent communication skills (both verbal and written) with the ability to effectively communicate with all levels across the organization * Detail oriented with demonstrated organizational skills Working Conditions: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
