Pro Staff is excited to partner with Bloomington, MN's largest food pantry, a dedicated organization providing access to healthy foods, social services, and financial assistance. We are seeking a highly organized, resourceful, and action-oriented Administrative Assistant to provide vital support to the CEO. Read on to learn more on how to apply today!

Pay: $30 per hour

Schedule: Monday - Friday, 8:00 AM - 4:30 PM

In this key role, you will manage both internal and external communications, create and prepare presentations, coordinate meetings and executive-level events, and track and monitor organizational planning sessions. You will also prioritize and manage the CEO's daily schedule while providing assistance to other leaders, including the HR Director, with tasks such as creating employee correspondence, assembling packets, and offering general administrative support.

Position Responsibilities:



  • Manage the CEO's calendar, coordinating appointments, meetings, and activities while balancing competing priorities.
  • Assist the CEO with drafting correspondence, preparing reports, creating presentations, and assembling Board and donor packets.
  • Respond to inquiries from stakeholders, ensuring timely follow-up and maintaining strong relationships.
  • Coordinate meetings with the Board of Directors and staff, including preparing agendas, organizing logistics, and recording minutes.
  • Create and update dashboards/trackers for organizational planning and progress tracking.
  • Support the HR Director with tasks such as open enrollment, safety training, and IT project management.
  • Assist the leadership team with travel logistics and other administrative tasks as needed.


Education and Experience:



  • Associate's degree or equivalent education/experience (3-4 years total).
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Minimum 2 years of experience in administrative support.
  • Strong organizational, communication, and interpersonal skills.
  • Experience managing confidential information and working with multiple priorities.
