Position Summary

The Fiduciary Services Specialist will enhance the client experience by servicing clients and providing operational and administrative support to the Fiduciary Services Team. This role will report to the Director of Fiduciary Services. Duties & Responsibilities
  • Answer and direct client phone calls
  • Arrange client events, meetings, and annual reviews.
  • Review and distribute routine reports to team members, including fee reviews.
  • Manage account opening and closing procedures.
  • Compile and proofread marketing and presentation materials.
  • Manage client communications related to birthday, holiday, special event notifications.
  • Maintain the integrity of client files; verify that proper documentation is appropriately filed in accordance with policy and procedure.
  • Collect tax information for annual returns and assist advisors with coordination year-end tax processing.
  • Monitor daily financial reports and cash positions in clients' portfolios to verify accounts are not overdrawn and cash balance is adequate to support ongoing cash needs.
  • Research, balance, and prepare periodic court reports for Estates and Guardianships.
  • Manage the completion and coordination of bill payment activity.
  • Research, balance, and prepare periodic court reports for Estates and Guardianships.
  • Develop and implement new forms and process aimed at improving efficiencies of Fiduciary Administration.
  • Manage and coordinator with Fiduciary vendors as appropriate.
  • Manage the continuing education opportunities for all associates - monthly and annual seminars/webinars/conferences. Works with vendor to offer - communication around those initiatives. Who participated for cert. by Kannon. Ensuring proper accreditation for those attending internally and externally.
  • Coordinate with vendors who oversee outsourced services such as ILIT.
  • Manage all communications through mail merge efforts department wide.
  • Lead other special projects as needed.
Education & Experience

Knowledge of:

  • Strong oral and written communication skills
  • Federal and state laws and regulations
  • Sophisticated software systems
  • Excellent time and project management skills
  • Microsoft Office Suite-intermediate or above

Ability to:

  • Attend appropriate training and informational programs to enhance understanding of the industry as part of the on-going job responsibilities
  • Support Director with project management and other tasks as needed
  • Coordinate department and client events in conjunction with Growth Strategies
  • Serve as project coordinator for department projects
  • Coordinate strategic planning initiatives and business development opportunities for the Busey organization
  • Coordinate mail merge for department-wide mailings
  • Assist Investment Services, and other Wealth team members, with administrative duties as needed

Education and Training:

  • Bachelor degree in business or finance;
  • 5+ years of related experience in the financial services industry with high net-worth clients preferred.
  • Continued education to achieve CFP, CFA, CTFA, or CPA designation within two years of hire.

Compensation and Benefits

Salary offered is based on factors, including but not limited to, the job duties, required qualifications and relevant experience, and local market trends. The role may be eligible for bonus or incentives based on company and individual performance.

(Base Pay Range: $23-$20/hr)
