Role Summary

The Workplace Cost Manager, Workplace Development role reports to the Director, Workplace Development and is responsible for the preconstruction activities, including estimates, budgets, schedules, scope clarification and assumption documents, during the initial phases of programming and project development, through the hand off to the Design and Construction execution teams. The Workplace program includes all Offices, Labs, R&D space, and Small Works developments in North America and Europe. This individual will work in conjunction with the project team in a very fast-paced environment. This individual will need to be flexible and will be asked to act as the Project Manager for certain projects during peak times.


Responsibilities

  • Act as the project estimator during the preconstruction phase of all Workplace Projects.
  • Support initial project investigation of scope and schedule lead by the Workplace Planning, Design, Construction, and stakeholder partners.
  • Lead and develop initial ROM (Rough Order of Magnitude) pricing and scope of work documents to be provided to the Workplace Planning Manager for incorporation into the final approval documents.
  • Develop cost reports for Project Managers to manage from budget approval to completion of project.
  • Communicate ROM budgets and clarifications and assumptions to the Manager, Workplace Planning and stakeholders for ROI justification considerations.
  • Collaborate with the Senior Manager, Workplace Development and Manager, Workplace Planning to gain financial alignment and approval (Stakeholder & Facilities).
  • Lead detailed cost estimates for all new project requests, to include:
    • Coordinate with IT/AV, FF&E, Signage, Security, etc. for accurate scope development and pricing.
    • Work with Building Engineering (BE) to confirm infrastructure assumptions to support EQM & program.
    • Coordinate with BE and Purchasing to identify long lead procurement strategies.
    • Collaborate with Facilities Project Ingestion team and Workplace Planning and Design on Value Engineering opportunities.
    • Review and collaborate with Design Manager to create efficient space layouts.
    • Create budget and schedule clarifications and assumptions to be included with Request for Proposal to General Contractors and Architect and Engineering firms.
    • Evaluate and level Contractor Proposals aligning pricing with scope. Ensure that all pricing is accurate and in Rivian standard format. Request subcontractor backup when needed to confirm costs and understand the bid at a detailed level.
  • Assist Project Management team with evaluating change orders, as needed.
  • Support project data accuracy in systems of record and manage project management procedures to ensure accurate data.
  • Review final layouts and estimates with the Senior Manager, Workplace Development and Manager, Workplace Planning, along with stakeholders, to ensure Minimum Viable Program (MVP) and project requirements are being met.
  • Work alongside Design Managers and Planning to manage stakeholder changes in program from initial request, Initial Project Plan (IPP) approval, and General Contractor evaluation and award.
    • Work with the Manager, Workplace Planning and stakeholders on developing escalation and justification approvals if program evolves after initial request.
  • Collaborate with Senior Manager, Workplace Development and Manager, Workplace Planning to identify a project strategy, including Contract Structure (Design Build, Hard Bid, GMP, etc.), Project Phasing & End User Requirements, Lead with Purchasing on appropriate bid lists, development of RFPs, bid leveling, interviews, and onboarding.
  • Collaborate on IPP Development and finalize documentation for presentation to Executive leadership team.
  • Walk project site with team and perform due diligence (as applicable).
  • Assist with project kick-off and handover to project execution team.
  • Support Preconstruction and Project Manager on request to spend requests for AEORs, GC release, Long Lead Procurement, etc.
  • Collaborate with Purchasing on appropriate bid lists, RFPs, bid leveling, interviews, and onboarding.
  • Assist project staff and Senior Manager, Workplace Development with annual budget tracking, yearend reporting, and forecasting.
  • Assist Workplace Development leadership with weekly and monthly executive reports highlighting program financial and schedule health status.
  • Assist Workplace Development leadership with weekly and monthly executive reports outlining future program development and forecasted costs.
  • Provide cost analysis and benchmarking studies to help drive project decisions from project inception to project closeout.
  • Perform studies to better understand market conditions for both domestic and international projects.
  • Provide value engineering suggestions with pricing for cost reduction.
  • Flex into additional roles during slow or peak times specifically taking on Project Management duties for the Workplace Development team.
  • Develop work plans and oversee the performance of general contractors, and occasionally direct trade subcontractors and/or vendors.
  • Oversee the work for compliance with schedule, budget, quality, safety, and overall conformance with the contract documents.
  • Project responsibility covers concept (via Operations/Real Estate managers), design, construction, and operations (warranty & maintenance).
  • Initiate and lead the creation of contractor and vendor RFP documents with purchasing managers (scope narratives, schedules, etc.), attend job walks and selection/award review meetings.
  • Establish and/or review contract documents and manage procurement, pre-bid conferences, and evaluations.
  • Coordinate activities with other Rivian staff, departments, and public agencies.
  • Resolve field construction problems in coordination with the design team, engineering staff, third parties, and other agencies as necessary.
  • Chair progress meetings, complete status reports, and deliver presentations, as required.
  • Communicate project health (budget, schedule, quality) to Rivian leadership via in-house Rivian program/dashboard.
  • Assist in negotiating with contractors regarding changes to the design, construction work scope, and schedules.
  • Support a quality audit program, oversee contractor corrective actions, and ensure a quality project conforming to plans and specifications.
  • Monitor and/or resolve claims, suggest ways to mitigate impacts, and develop workarounds.
  • Support Rivian safety vision and comply with all safety rules, policies, and procedures.

Qualifications

  • A bachelor's degree in engineering, architecture, or construction management, is preferred, or a similar number of years of experience in the field.
  • Must have 8+ years of Project Management or Pre-Construction experience in the construction industry.
  • Experience in construction estimating procedures that includes, but is not limited to, takeoffs, square foot pricing, bottoms up and top-down pricing.
  • Experience and detailed knowledge of Design and Construction Process.
  • Experience and knowledge of accounting or database software (e.g.: Coupa, Timberline, and/or Viewpoint).
  • Must have excellent computer skills and be able to demonstrate proficiency with Google Products / (Sheets, Docs, etc.) MS Office products (Word, Excel, PowerPoint, etc.).
  • Comfortable in a "paperless environment".
  • Must be able to work in a fast-paced office environment, able to multi-task, and meet critical deadlines with an eye for accuracy and attention to details.
  • Ability to work with all levels of project staff and organization.
  • Ability to travel within the United States to project sites, occasionally requiring overnight stays, as needed.

Pay Disclosure

Salary Range for CA based applicants: $125,000 - $156,200 annually (Actual compensation will be determined based on experience, location and other factors permitted by law).
