The Mail Room Clerk is responsible to serve the college with USPS mailing needs and to deliver prompt mail services. This includes accepts incoming and outgoing mail, processes, sorts and delivers prompt mail services.

Essential Duties

  • Ensure Mail Room is open for daily operations.
  • Provide excellent customer service by working effectively with all departments providing mail needs as required.
  • Process incoming mail, sort and deliver to 5 outlying buildings twice a day.
  • Meter and process outgoing mail twice daily.
  • Maintain log of each mail service provided.
  • Account for all postage for each department throughout the college.
  • Record weekly descending totals and run monthly reports.
  • Fill postage meter - submit check request for monies to be placed into meter.
  • Troubleshoot and maintain mail equipment on a daily basis.
  • Maintain and coordinate maintenance and inspection of Quadient mail metering machine with Omecorp Genesis Business Systems and operations.
  • Maintain and update organization numbers in accounting package of the postage meter.
  • Run monthly reports to be turned into Accounting department.
  • Accommodate NWACC Foundation and all departments in mailings.
  • Bulk mailings - coordinate with departments and inspect and transport to post office.
  • Order all supplies needed for operations.
  • Keep Mail Room organized and clean.
  • Make frequent trips to post office.
  • Maintain Mailroom procedure manual so it is current at all times.
  • Eliminate junk mail waste by contact with catalog companies as needed.
  • Perform other related duties as required or assigned.

Rate of Pay $14.91 per hour

Knowledge, Skills and Abilities

  • Customer service skills required to interact and work effectively with the public, college Faculty and Staff and USPS employees.
  • Knowledge of Outlook email to communicate with Faculty and Staff.
  • Knowledge of internet to chat or email with Omecorp Genesis Business Systems.
  • Knowledge of College directory to locate Faculty and/or Staff offices.
  • Should understand college department mailbox locations.
  • Must be able to operate mail meter and understand various functions of same.
  • Knowledge of USPS process for certified mail.
  • Knowledge of College library and science kit mailing process.
  • Ability to ask questions to gain understanding.
  • Should be able to work effectively with minimal supervision.
  • Ability to understand time constraints and work on a timely basis.
  • Excel spreadsheet knowledge required to perform monthly reports.

  • Regularly required to walk, stand, sit, reach, use hands to manipulate mail pieces and/or small parcels.
  • May be required to lift small boxes or packages up to 10 pounds.
  • Specific vision abilities include close vision to read mail labels and perform monthly reports.

Required Qualifications

  • High school diploma or GED.
  • Additional requirements determined by the agency for recruiting purposes require review and approval by the Arkansas Division of Higher Education.
