Inova Staffing Solutions is looking for a dedicated Manager of Administration to join our Staffing Solutions team. This role will be Full-Time, Monday-Friday, 9am-5:30pm

Job Responsibilities:

The Manager of Administration manages the day-to-day operations to include the functions of payroll, scheduling, staffing, staff development and training, office wellness, employee health and communications. This position provides administrative support for the leader to include supporting departmental oversight. Composes, reviews, and prepares correspondence and presentations accurately and in a timely manner. Compiles and maintains data and documentation to ensure availability of complete, accurate, and up-to-date information. Manages personnel, including day-to-day supervision, employee relations, and staff development. This role also carries out duties relying on own initiative and independent action.



  • Oversees assigned department or functional area to ensure it is performing effectively, which may include but not limited to, hiring and training team members, creating and implementing business strategies, managing performance of team members, and delegating tasks.
  • Manages the day-to-day operations to include the functions of payroll, scheduling, staffing, staff development and training, office wellness, employee health and communications.
  • Supervises workforce in a professional and competent manner; Counsels, mentors and develops staff to promote patient care, maximize efficiency, enhance morale, and provide a positive working environment; Establishes, reviews, and revises performance standards for assigned staff, interacting appropriately to set goals; Communicates expectations and provides feedback.
  • Establishes performance expectations and provides direction, feedback, and guidance to employees; In conjunction with the leader, completes performance evaluations, employee relations, and needed disciplinary activities.
  • Provide personnel management for staff to include time card maintenance, scheduling, staffing, PTO requests, compliance, and other administrative matters.
  • Facilitates strategies to enhance employee satisfaction; Provides information regarding professional growth and development opportunities.
  • Serves as primary point of contact for staff in the department; May instruct, train, and oversee the work of other employees with leader oversight.
  • Revises or develops processes and procedures as needed to support efficient and effective department operations, implementing policies when appropriate.
  • Manages and reconciles department purchasing card expenses and statements and ensure invoices are processed in a timely manner.
  • Provides administrative support for the leader; Composes, reviews, and prepares correspondence and presentations accurately and in a timely manner; Compiles and maintains data and documentation to ensure availability of complete, accurate, and up-to-date information; Compiles meeting agendas, gathering information from multiple sources, and ensures that materials are assembled and distributed in a timely manner; Prepares and distributes routine and ad-hoc reports.
  • Processes requisitions, maintains records, orders supplies, prepares and processes travel arrangements and reimbursements; Monitors office equipment, office supplies and documents/forms to ensure that all items are readily available.
  • Prepares, edits, and proofreads letters, memorandum, and presentations from drafts or independently, often of a complex and confidential nature; Designs, formats, and lays out presentations and documents, using intermediate and advanced features of MS Office applications (Word, Excel, PowerPoint, Outlook).
  • Assists in the preparation of annual budget; monitors expenses, reconciles budget to actual, researches and tracks variances.
  • May perform additional duties as assigned.


Additional Requirements:



  • Work Schedule: Full-Time, Monday-Friday, 9am-5:30pm
  • Education: Associate's degree (or equivalent experience)
  • Experience: 3 years of office experience


Preferred Qualifications:



  • Staff management experience (coaching, conflict resolution, performance management, compliance and policy enforcement)
  • Proficient with Microsoft Office applications (Word, Excel, Powerpoint, Outlook)
  • Experience with coordinating and managing staff timecards/payroll
