About the Department:
George Mason University's Office of University Career Services is seeking a part-time (25 - 29 hours per week) Marketing Coordinator to organize, track and support its digital and print marketing efforts to promote career events, services and resources to current students and alumni. George Mason University currently has more than 40,000 students and over 150,000 alumni. University Career Services (UCS) serves all George Mason students, graduate and undergraduate, in 10 schools and colleges spread across three campuses in Northern Virginia.
Each year, University Career Services hosts 8-10 signature events, including multi-day career fairs and Career Weeks (5-6 events clustered in one week, focused on specific industries of interest), in addition to 4 thematic workshop series and other events that require marketing support.

About the Position:
University Career Services (UCS) seeks an experienced coordinator with strong organizational skills, attention to detail and demonstrated interest in marketing, communications or public relations. The Marketing Coordinator will serve as the central coordinator and scheduler for UCS' marketing efforts across several different channels, including digital (e.g., website, email marketing, social media, Handshake) and print (e.g., event fliers, postcards, lawn signs, posters, etc.).
This position works closely with UCS leadership, event managers, career advisors (SMEs) and the University Life Marketing and Communications (UL MarCom) team and will report to the Associate Director of Programs and Outreach in UCS.
Responsibilities:
Event marketing management
- In collaboration with UL MarCom Project Manager, the Marketing Specialist will build the marketing schedule for UCS programs/events;
- The schedule will include tasks and deadlines for UCS staff to create content (as needed) for delivery to the UL MarCom Project Manager to produce the marketing collateral on time;
- The Marketing Specialist will monitor progress and drive completion of tasks within UCS to ensure marketing materials and communications are disseminated to the identified target audience in adherence with the marketing schedule;
- The Marketing Specialist will also partner with the UL MarCom Project Manager to ensure all branded marketing and communications efforts are in full compliance with the George Mason Brand Guidelines and accessibility expectations.
Event marketing deliverables to be organized and tracked include, but are not limited to:
- Promotional emails sent through Handshake system (3-5 per week during the academic year, 1-2 over breaks and summer terms);
- Signature event marketing/media kits for 8-10 signature events each year (print, email, social media images/suggested posts);
- Timelines for social media campaigns related to UCS events; and
- Fliers/Promo for four (4) on-going event series running each semester (i.e., Real Talk, Handshake Highlights, Grad Programs, Clearance Ready).
Website
- Manage annual review process of 80+page website (careers.gmu.edu), including assigning pages to content reviewers (SMEs), compiling and tracking the completion of edits and changes;
- Collaborate with UCS website committee on content creation when new webpages or page redesigns are necessary;
- Submit requests to UL MarCom Project Manager for major edits, page design, Drupal updates and to ensure website is in full compliance with the George Mason Brand Guidelines and accessibility expectations; and
- Conduct ongoing website maintenance; complete minor web edits in Drupal (CMS) to correct content errors or update links as needed.
Emails
- Schedule and participate in ongoing email committee meetings with select UCS staff for all signature events;
- Identify target audience for emails, as appropriate;
- Submit final content/text to UL MarCom Project Manager to create emails in Handshake marketing module for review;
- Edit/proofread drafts before emails are scheduled to be sent through the system (3-5 per week);
- Keep collaborators/event managers informed of success of email campaigns; and
- Review analytics in Handshake for trends or best practices to inform email strategy.
Print and promotional inventory
- Monitor inventory of print materials (5-10 in use at any time) and submit requests to replenish supplies (mix of event specific and evergreen materials);
- Track printing projects required by the George Mason visual rebrand (2024-2026), including fliers, pop-up banners, yard signs and student/employer branded giveaways (swag); and
- Brainstorm ideas for student/employer giveaways, make suggestions and consult with current students for feedback.
Service Responsibilities
- Staff large-scale office events (e.g., career fairs, orientation), both in person and virtually; and
- Participate in all-staff meetings, trainings and symposia for UCS and the University Life division.
Required Qualifications:
- Demonstrated ability to manage concurrent, multi-step projects with multiple collaborators, while still delivering quality products on time;
- Demonstrated use of collaborative technology to manage multiple projects (e.g., MS Office 365 suite Outlook, Teams, Forms, Planner or similar);
- Demonstrated written and verbal communication skills, particularly communications with an intent to inform, persuade or motivate the target audience (e.g., students, consumers, stakeholders, etc.);
- Successful experience collaborating with cross-functional or diverse teams on a long-term basis (i.e., several months);
- Demonstrated experience learning new technologies and/or platforms; and
- Demonstrated knowledge of Microsoft applications: Word, PowerPoint, and Excel
Preferred Qualifications:
- Experience using a style guide or brand guidelines in content creation and editing;
- Marketing or communications experience in a university or other educational environment;
- Experience typically obtained in one (1) year managing an email, marketing, or deliverables calendar;
- Experience typically obtained in one (1) working with subject-matter experts to develop marketing/communications content;
- Experience leading peer team, with or without an official leadership role;
- Demonstrated experience performing basic web edits in Drupal or a similar CMS;
- Demonstrated knowledge of the Adobe Pro Publishing suite to create and edit documents and photos; and
- Experience with Wrike, Jira, TDS or similar ticketing/tracking application.
