Job Description

The School of Medicine-Office of Medical Education is actively recruiting for the role of Executive Assistant. The position provides executive-level support to dean level administration.

Primary duties include meeting scheduling using Outlook Calendar, prioritizing, communicating, scheduling, and reviewing appointments for conflicts, ensuring all necessary meeting arrangements are made including room reservations, and communicating to all appropriate attendees to ensure availability. Selecting and scheduling meeting facilities, equipment, meals and/or handouts to ensure appropriate resources for smoothly run meetings.

Provide staff support for the School of Medicine Medical Education Leadership team and committees as needed, including scheduling meetings, distribution of agendas and other meeting documents, taking minutes, and providing administrative assistance with special projects.

This position may also assist with faculty evaluation process, accreditation assistance, event planning and management, draft correspondence, and preparing PowerPoint presentations.

Other responsibilities include management of confidential communication and documents, arranging travel and submitting reimbursement reports, tracking expenses and general office duties.

Essential skills include demonstrated competency with Microsoft Outlook, Excel, Word, PowerPoint, and Teams. Highly detail-oriented individuals with initiative and willingness to be a flexible team player are encouraged to apply.

Shift

Shift Type: Monday through Friday 8am - 5pm with occasional evening or weekend hours to accommodate special events.

Flexibility for Alternative Schedules: Yes

Minimum Qualifications

Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Hiring Range: $21.00 - $26.34/per hour
