Job Description

Paid Internship

On-Site Position

Minimum 24+ hours per week

Location: Paramount, CA

Job Summary: The Administrative HR Intern Co-Op is responsible for performing a wide variety of clerical and administrative duties for the local plant HR department in the day-to-day activities of the department.

ESSENTIAL JOB RESPONSIBILITIES:

  • Performs wide variety of administrative duties to support the HR department (i.e. letters, reports and forms)
  • Assists in recruiting and orientation/on-boarding activities (i.e. coordinate and schedule interviews and orientation)
  • Assists in maintaining and storing employee training records, and distributes records to appropriate personnel as required
  • Participates in HR initiatives such as mass distributions, open enrollment, employee engagement activities, etc.
  • Manage mail handling for ingoing and outgoing mail
  • Process responses to HR mail such as unemployment notices, child support, garnishments and tax withholdings etc.
  • Maintain all department records in an orderly, secure and confidential manner
  • Maintain employee communications, employee boards, compliance notices, etc.
  • Provide logistical support for internal meetings and events by handling lunch coordination for staff and executive leadership team, ensuring quality and timely service
  • Input to HRIS new hire data and any personnel changes. Review input and error reports for completeness and accuracy, making corrections as necessary
  • Track and monitor timely completion of performance reviews
  • Assist the HR department in posting requisitions in ATS (Applicant Tracking System)
  • Assist with scheduling interviews by phone or email correspondence
  • Prepare new hire onboarding packets
  • Assist HR team with open enrollment preparation, communications, and role out
  • Input open enrollment employee benefit changes, changes in family status and insurance benefit changes
  • Assist with picture taking and preparation of employee badges
  • Prepare self bills for benefits on a monthly basis and send invoices for approval to Accounting and HR director
  • Maintain birthday/anniversary calendar for the plant
  • Edit and type letters, reports, job descriptions, notices, etc.
  • Receive and screen telephone calls, relay messages and furnish information wherever possible
  • Order and maintain stationary supplies for the Human Resources department and Executive team
  • Perform other duties as necessary or appropriate to the position

Education Requirements

  • Must be enrolled in an accredited 4-year university pursuing a BA, BS or MS in Human Resources, Business Administration, Business Management or Psychology
  • Must be at a Junior or Senior standing
  • Must have 3.0+ GPA

Basic Qualifications

  • Must be able to work at least 24+ hours
  • Must be a detail oriented/organized individual with the ability to maintain a high degree of confidentiality
  • Ability to work in a team environment
  • Ability to communicate effectively and build interpersonal relationships
  • Ability to lead projects with minimum direction
  • Ability to use Microsoft Outlook
  • Basic understanding of Microsoft Word, PowerPoint and Excel
  • Must be able to read, write and speak English

Preferred Qualifications

  • Bilingual (English and Spanish) is a plus
  • Previous internship/Co-Op experience in a manufacturing work environment
For informational purposes only, the range of pay for this role is $22 to $24 US Dollar (USD) Hourly based on a variety of factors. Employees will receive 0 hours paid time off every year. Employees will also receive 10 paid holidays. Employees (and their families) are eligible to participate in the company's medical, dental, vision, and basic life insurance. Employees are eligible to enroll in the Company's 401(k) plan.
This position requires use of information or access to production processes subject to national security controls under U.S. export control laws and regulations (including, but not limited to the International Traffic in Arms Regulations (ITAR) and the Export Administration Regulations (EAR)).
