Position Description

Performs administrative and coordinative work in direct support of an executive officer, including such functions as planning, budgeting, supervision and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision with evaluation based on results obtained.

Major/Essential Functions


  • Drafting and typing of memos, letters and documents; handles all incoming and outgoing correspondence for the Dean; routes forms requiring Dean's Office approval; responsible for drafting/distributing the monthly Department, REO, Farm Op, and Unit Leader meeting minutes.
  • Responsible for the Dean's day-to-day calendar; schedules/reschedules appointments, meetings and events as required; surveys committees, councils, and others for upcoming meetings and events.
  • Receives and screens walk-in visitors and phone calls requesting a meeting/appointment with the Dean.
  • Makes travel arrangements (flights, hotel, rental cars, etc.) and prepares and submits the routine travel paperwork (travel pre-approval, final expense report). Processes travel for the dean, associate dean for research, director of strategic marketing, director of off campus farm operations, etc.
  • Coordinates with and acts as liaison to the departments/units in the Davis College of Agricultural Sciences & Natural Resources including but not limited to the seven academic departments, Development, Farm Operations, FBRI, and the Texas Coop Fish & Wildlife Research Unit.
  • Determines work priorities as well as communicates daily by phone and/or e-mail with University administration, faculty, staff and outside persons.
  • Assembles and organizes materials used by the Dean in completing work assignments; maintains confidential records and files and follows University Records Retention policy.
  • Coordinates college faculty tenure and promotion procedures, comprehensive performance evaluations (Post-Tenure Review), annual Faculty Reports and Chairperson Assessments, Faculty Third-Year Reviews, Faculty Emeritus submissions, staff annual reviews, college awards submission process/procedures, etc.
  • Maintains a roster of faculty and staff in Davis College
  • Monitors Davis College email/phone inbox.
  • Other duties and assignments as determined daily.

Required Qualifications

Bachelor's degree required in related area plus six years progressively responsible administrative experience including supervisory experience; OR a combination of education and/or experience to equal ten years.

Preferred Qualifications

A thorough knowledge of Texas Tech University's Operations Policies and Procedures that apply to faculty and staff issues, as well as purchasing and travel paperwork. A familiarity with academic policies pertaining to promotion and tenure, post-tenure, and the hiring of new faculty is helpful.

Occasional Duties

Backup for scheduling meetings/event arrangements (reserving rooms, audio/visual equipment, food/drink, etc.) and process all appropriate paperwork as required. Processes correspondence relating to meeting/events as necessary.
