POSITION SUMMARY

The goals of the FLEX and YES Abroad alumni programs are to promote increased understanding; foster lasting personal and professional ties; advance mutual understanding, leadership skills, and understanding of civil society during the exchange experience and beyond; and enhance understanding of other countries and cultures among American host communities and improve realistic understanding of American values in host and alumni communities abroad.

The Alumni Coordinator supports these goals as the primary connection between American Councils and the alumni community. The position is highly administrative and includes maintaining up-to-date records of alumni data; regularly sharing opportunities with and creating opportunities for alumni; creating content for the FLEX and YES Abroad alumni components of digital platforms; recruiting, training, and supporting alumni Area Representatives in organizing activities in their home communities that address the goals of the alumni program; managing an alumni activities budget; and gathering and reporting information on alumni activities and successes. The Alumni Coordinator is supervised by the FLEX and YES Abroad Program Manager.

POSITION RESPONSIBILITIES:

* Plan and implement training for alumni Area Representatives (ARs) across the country in September or October.

* Coordinate, support, and encourage alumni as they plan and execute alumni activities.

Alumni activities



  • Organize alumni activities at least once every two months in your local area.
  • Organize events that fulfill the required activities for alumni communities across FLEX and YES alumni programming.
  • Facilitate alumni engagement with other American Councils/U.S. Government programs, including when applicable, with NSLI-Y and CLS programs.



Finance and admin



  • Oversee and track alumni activities budgets for local and U.S. wide events in compliance with American Councils finance and U.S. Department of State procedures.
  • Develop annual and monthly plans and budgets for FLEX and YES Abroad alumni activities.
  • Maintain up-to-date alumni contact information in the official American Councils database.



Reporting and Promotion



  • Report on alumni activities in compliance with American Councils finance and U.S. Department of State reporting procedures.
  • Create and distribute a monthly newsletter to all YES and FLEX Abroad alumni. This includes facilitating and promoting employment and career development opportunities for alumni.
  • Attend and lead outreach to alumni to assist with pre-departure orientations for outgoing students and re-entry seminars for newly returned alumni.
  • Actively gather information about and promote awareness of alumni activities and accomplishments, including submitting timely reports to American Councils and representing the alumni community at relevant meetings and events.
  • Design posts for the FLEX and YES Abroad Alumni Instagram accounts.
  • Regularly monitor email inboxes.
  • Liaise with local and potential partners.
  • Manage FLEX Abroad and YES social media platforms



Other duties as assigned.

Qualifications

The successful candidate must fit the following description:

* Successfully completed in the FLEX or YES Abroad program;

* Alum in good standing;

* Self-motivated and able to commit 10-15 hours of work each week;

* Able to manage time and tasks effectively and meet deadlines consistently;

* Willing to coordinate between the FLEX and YES Alumni team and the FLEX and YES Abroad team at American Councils;

* Demonstrates professional oral and written communication skills in English;

* Demonstrates leadership ability and experience;

* Willing to learn and able to comply with guidelines and procedures, such as for reporting on activities and managing funds; and

* Proficient in basic computer skills, including familiarity with Microsoft Office, and comfortable learning new programs.

CONDITIONS AND BENEFITS

* Flexible part-time position; 10-15 hours per week at the American Councils office in Washington, DC or remotely if not within the Washington, DC area.

* Participation in a mandatory training program.

* Initial appointment of one year, with the possibility of extension for up to one additional year (two years maximum).
