Position Summary

The UNM-Taos Facilities Department is seeking an experienced, motivated, and detail-oriented administrative professional to support the functions and daily operations, including administrative support of the Facilities and Capital Projects department.

The ideal candidate should be self-motivated, reliable, flexible, and organized with a demonstrated ability to complete required tasks in a timely manner. Excellent administrative and communication skills-both verbal and written- are required. The position requires comprehensive administrative, organizational and operational skills, and the ability to work as a member of a team in a sometimes fast paced environment.

The Admin Assistant III performs and a variety of associated administrative, fiscal, staff support some of which require knowledge and skill in record-keeping, database management, information gathering, and written correspondences. Duties and Responsibilities include:

* Providing front desk reception and coverage, answering phones, managing department email and calendars.

* Establish, maintain, and update department files, databases, records and or other documents for local and state agencies as well as for department and campus use.

* Maintain records, reservations, mileage records and card reconciliations for the facilities fleet vehicles.

* Maintain records for the campus master keying system including key/access card requests and approvals if needed.

* Correspond with suppliers for quotations; maintains contact with vendors regarding current status of purchase orders.

* Prepare time sheets, including overtime and shift differential calculations; maintain leave and payroll records, as appropriate to operational requirements.

* Assist custodians with supply inventory stock on hand and initiate paperwork to purchase additional quantities when necessary.

* Take meeting minutes as needed.

The position will occasionally require some travel and vehicle operations.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Experience in database management skills including entering, maintaining, and analyzing data.
  • Experience creating, formatting, maintaining, tracking, and supporting budgets and both electronic and paper-copy file management.
  • Demonstrated proficiency in Microsoft Word, Excel, and Outlook (Office 365) and calendar management.
  • Excellent Interpersonal Skills to include ability to communicate effectively, collaborate with colleagues, professionalism, and dependability.
  • Knowledge of federal and state government purchasing procedures.
  • Bilingual Preferred (English /Spanish)
