Overview

The Assistant Payroll Manager supports the Payroll Manager in overseeing the organization's payroll processes, ensuring accurate and timely payroll processing, compliance with all applicable laws and regulations, and proper documentation. This role also assists with system audits, process improvements, reporting, and the supervision or training of payroll staff.

What you will be doing

    Process and review payroll for multiple employee groups (e.g., staff, union) across various locations.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Assist in managing payroll systems and support system upgrades or changes.
  • Maintain payroll records and reports; ensure confidentiality and security of payroll data.
  • Reconcile payroll accounts and assist with month-end and year-end close processes.
  • Collaborate with HR, Benefits, and Finance to resolve discrepancies and support cross-functional initiatives.
  • Prepare and review payroll-related reports for internal departments and external agencies (e.g., tax filings, garnishments, audits).
  • Assist in training payroll staff and providing guidance as needed.
  • Act as a backup to the Payroll Manager during absences.


What we are looking for

  • Bachelor's degree in accounting, Finance, Business Administration, or a related field, preferred.
  • Bilingual - English/Spanish, required.
  • 2+ years of payroll experience, preferably experience in a supervisory or lead role.
  • Experience with TimeSheet Tool, ECMS, and DRT, a plus but not required.
  • Proficiency in Microsoft Office, especially Excel, required.
  • Familiarity with multi-state payroll processing and tax regulations.
  • Strong attention to detail with excellent analytical and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive data appropriately.
  • Excellent communication and interpersonal skills.
