Purpose of the Job

The Business Services Loan Documentation Specialist I provides a wide variety of support to the Business Services Team and Business Partners in accordance with Federal regulation and Credit Union policies and procedures. This support consists of the timely and accurate delivery of services throughout the full life of the business loan relationship which includes the management of the loan documentation system by generating and delivering all preliminary and final commercial loan documentation to a TFCU branch location or to an Attorney/Title Company for loan closing; coordination of all loan closings internally and externally; review all attorney prepared documentation for accuracy and provide follow up comments and feedback as needed; ensure all customary documentation has been obtained on or before loan closing; onboarding of commercial loans into the Core System.

Essential Functions and Responsibilities

  • Prepares legal loan documentation for small business commercial loans which includes secured and unsecured commercial loans, renewals, modifications, and extensions, ensuring accurate and timely of loan closing and booking into the core system in accordance in accordance with approval terms and conditions, federal compliance regulations, internal policies and procedures, and legal standards.

  • Facilitates loan closings for both inside and outside the organization by coordinating with members, branch personnel, title insurance companies and attorney firms and proactively communicate loan status throughout the loan relationship and respond to questions and issues in a timely manner.

  • Reviews all small business commercial loan documentation for execution accuracy prior to funding a loan at closing.

  • Responsible for accurately onboarding all commercial loan into the Core system.

  • Responsible for funding loan proceeds and finalizing the closing with the closing team, complete any post closing GL entries, system maintenance, and report tracking for all assigned small business commercial loans.

  • Maintains the Exception Report for all outstanding post-closing items and loan documentation. This may require follow up and contact with members, title companies and attorney firms, with Business Services Officer, or Business Lending Assistant to obtain required outstanding items within a timely manner.

  • Completes 2nd Level Review (audit) of all commercial loan packages and loan credit files, note any deficiencies on the Exception Report as assigned.

  • Maintains credit files for all commercial loans that includes validating all member financial and loan documentation are complete and follows the standard naming and file formats.

  • Recognizes the need to escalate non-routine issues and concerns to the Operations Manager or SVP, Commercial Lending.

  • Pulls flood determinations and ensuring the required flood insurance is obtained if the property is determined to be in a flood zone.

  • Assists with the analysis of building new business services products, from creation, design, testing and implementation.

  • Performs credit file reviews in preparation of both internal and external audits.

  • Verifies account balance Confirmation requests and loan participant annual audit requests.

  • Collaborates and consults with teammates and managers to resolve issues and achieve the goals and objectives of the credit union.

  • Develops and maintains a positive effective working relationship with co-workers and business partners to promote teamwork, communications, trust and respect.

  • Attends and completes all assigned learning courses and compliance training required by the credit union within the expected time period.

Other Duties and Responsibilities

  • Performs work accurately and within assigned deadlines and adhere to written procedures and maintain a minimal error rate.

  • Actively participate in individual one on one meetings, team meeting and group events.

  • Meetings may be virtual through Teams or may be required in person at the office.

  • Assists with projects and/or tasks assigned by department leadership.

Knowledge, Skills, and Abilities

  • Must have the ability to work in a fast-paced environment while successfully prioritizing multiple requests and maintain a superior level of customer service.

  • Must be detail-oriented with excellent time management and organizational skills.

  • Must have excellent critical thinking and problem-solving skills as well as the ability to embrace and adapt to change.

  • Must have excellent communication skills in English, both verbal and written.

  • Must have the ability to work independently and in team settings with people from different job levels ranging from Senior Management to entry level employees.

  • Must have strong computer skills to navigate multiple computer systems including intermediate knowledge of Microsoft Office.

  • Must be flexible and able to shift resources and priorities as required.

  • Must be able to complete all assignments and deadlines with minimal supervision.

  • Must be able to maintain confidentiality and understand all business loan processes within the Credit Union.

  • Should possess a strong commitment to providing excellent service to Credit Union members.

Physical Requirements

  • Occasional standing, walking, bending, and stooping required

  • Must be able to sit at a desk for long periods of time and use a computer

  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Bachelor's or Associate's degree and equivalent work experience required.

  • Minimum of 3 years' experience in a financial institution and general knowledge of business/commercial lending and commercial loan documentation.

  • Previous experience in financial services/business development related field preferred
