Position Summary: The Equipment Coordinator takes equipment orders from customers and processes them. This position coordinates and manages sales regions and acts as a liaison between customers, equipment specialists, service managers, and other management on equipment orders. This position also receives and responds to external and internal customer inquiries, issues and orders and resolves equipment related issues/problems. Do These Responsibilities Interest YOU?
Process quotes and orders upon receipt of completed paperwork (i.e. Deposits, financing docs, signed quote, signed sales agreement, customer PO if necessary) and makes a customer file for the purchase. Carefully proofread orders, purchase orders, and billings for errors. Check gross profit on equipment orders by ensuring that the correct vendor cost is recorded on the sales order and understands commission structure and maintenance screen. Ensure that proper approval is obtained for low GP orders. Accurately generate purchase orders for specific vendors as determined by equipment order or transfer from stock if necessary. Timely receipt of those purchase orders and transfers, and responding to buyer queue and a/p emails are critical. Act as Benco liaison for local manufacturer representatives to assist the sales team with credits and special deals. Work with financing partners to provide them with all necessary documentation for financing. Update financing partners on a regular basis and responds to questions in a timely fashion. Is educated on and stays informed of equipment and manufacturer promotions. Ensure that PO's are cut in order to meet pricing/promo deadlines. Effectively coordinate emergency equipment orders (when office is down). Coordinate all ship dates with specific install dates. Update PO's and systems with ship dates. Receive equipment against packing slips for showroom and 3PL deliveries. Notify region if equipment is not available for scheduled installation. Process billing of equipment orders in a timely manner for 3PL deliveries and showroom transactions. Efficiently communicate with equipment specialists, installation team, regional service managers, and regional managers. Participate in weekly meetings to review status of current jobs. Within 10 days of the completed installation, is responsible for processing equipment returns, issuing customer credit, and arranging credit from vendor in a timely manner. Must follow up on open warranty tags and vendor claims. Stay within guidelines of equipment logistics process. Ensure that all equipment is shipped to a Benco distribution center before utilizing other options such as a showroom or 3PL. Maintain Project Management software database. Projects are created for all equipment orders and all projects are up to date with current and accurate information. Effectively assist Equipment Handler in assuring that the upkeep of inventory in Warehouse Distribution Centers is current. Perform all system requirements for showroom inventory while ARC completes all physical aspects of the role. Monitor all daily and weekly reports and promptly takes corrective action on all discrepancies. Keeps spreadsheet records up to date and maintains files for a rolling six months.
