The Office of Enrollment Operations is looking for an individual with experience using enterprise-level systems to process and manage documents to fill our Information Services Specialist III position. Apply now to join our team!


The Information Services Specialist III receives, identifies, verifies, and indexes applicant and student documents received via electronic transmission or postal mail in a timely and accurate manner, working primarily with electronic documents for the Offices of Admissions, Financial Aid, and Registrar. This position also provides supervision for a team of student workers and training for new full-time employees to support enrollment-related document processing and mailroom operations.
Minimum Education and Experience

Associate's degree and five years of work experience. This position is eligible for an equivalency of relevant experience and education.

Preferred Education and Experience

  • Bachelor's degree and at least four years of work experience
  • Experience using enterprise systems such as Salesforce, PeopleSoft Campus Soutions and Hyland OnBase document management
  • Supervisory experience
  • Demonstrated integrity and ethical behavior in working with confidential information

Other Qualifications
To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities

  • Index documents using enterprise document processing systems; ensure all documents processed meet quality standards and verify content is accurate.
  • Participate in the preparation of out-going mailings.
  • Supervise and mentor a team of student workers supporting the Office of Enrollment Operations document imaging and mailroom operations, to include interviewing, hiring, and training new student workers to maintain proper staffing levels; monitor team performance, resolve concerns, and initiate disciplinary actions in accordance with University policies and procedures, if needed.
  • May operate scanning equipment and visually confirm that documents are being accurately and clearly scanned.
  • Communicate verbally and in writing with various on-campus staff to provide requested information as needed.
  • Participate in various training opportunities to stay current and improve knowledge of various software platforms and policies affecting document processing.
  • Attend required meetings and participate in UT Dallas Enrollment Management events as assigned.

  • Requires the ability to perform frequent to constant repetitive keyboarding functions to complete work tasks
  • Requires the ability to reach, bend, lift, and carry up to 25 pounds in order to file documents and move boxes

This position may require limited overtime work during certain times of the year to meet peak processing needs and attend departmental events, including evenings and weekends.

Remote Work Notice
Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
