Under supervision of the Business Operations Manager, provide support for faculty, staff and students in the areas of general administration, travel and entertainment, purchasing and accounts payable. Supports the DSS Blue Cluster as well as the centers and programs that the unit manages with operational and financial functions of the department, with a strong emphasis on business process coordination, fiscal compliance, and administrative efficiency. Assume responsibility for planning, managing and implementing a wide variety of events and conferences for Department Chairs and Directors for the Division of Social Sciences (Blue Cluster) in the College of Letters and Science. Work within complex university policies and procedures related to the use of campus facilities and services. Evaluate event requirements, develop comprehensive cost projections and provide complete event management for university and non-university clients within university guidelines. Assist in day-to-day operations. Respond to general inquiries in person, by email, or on the phone.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position
- Experience managing large complex conferences and events including planning, decision making, contracts, and policy implementation.
- Experience reconciling expenses and tracking budgets, including preparing reports and monitoring expenditures across multiple accounts.
- Experience using organizational and time management skills to prioritize and coordinate multiple complex and detailed projects simultaneously.
- Establish priorities, work accurately despite constant interruptions and under pressure of deadlines.
- Experience with Microsoft Office Suite and publishing software to create event materials and support events; and with website management software to make updates and changes to web pages.
- Experience using interpersonal, customer relations and communication skills to effectively interact and communicate with clients, faculty, staff and administrators; and to provide excellent customer service to a culturally diverse constituency of internal and external clients.
- Knowledge of purchasing policies and procedures and experience with purchasing supplies and travel and entertainment.
Preferred Qualifications
- Experience with AggieExpense, AggieBuy, AggieShip and Aggie Enterprise.
- Experience with multimedia audio and visual programs and applications.
- Event management experience in an academic environment.
- Knowledge of university event policies and procedures including principles of risk management and liability as related to events.

The Blue Cluster is a large complex academic unit within the Social Sciences. It is comprised of the Departments of Economics, History and Military Science, as well as the following programs: Jewish Studies, Hemispheric Institute on the Americas, East Asian Studies, Poverty Research Center, , History Project, and the California History Social Science Project.. All are teaching and research units within the College of Letters & Science. The Blue Cluster has 76 senate faculty, 10 Unit-18 & Continuing Lecturers, over 100 non-senate academic employees of varying titles per quarter, 20+ career staff, 160+ graduate students, & 2200+ undergraduate majors.

Work Environment
