Overview

Beyond New Horizons, LLC (BNH) has an exciting opportunity for an Administrative Assistant, supporting TOS II, at AEDC in Arnold AFB, TN. The Administrative Assistant will be working as a member of the Asset Management Directorate is responsible for supporting the United States Air Force Test Operations and Sustainment efforts. The Asset Management Directorate performs cutting edge technology development work in support of the National Defense Strategy.

Open to internal and external candidates.

Job Summary

The successful candidate will be highly organized, have effective verbal and written communication skills, be able to work with discretion and confidentiality, proven time management skills, be proactive, and be willing to continually learn new duties and skills.

Job Duties:

    Works independently to provide administrative and secretarial support of a responsible and confidential nature and performs document control and records management activities to help ensure the smooth functioning of a department. Duties require accuracy, judgment, a high degree of initiative, discretion, diplomacy, and knowledge of protocol. Anticipates changing priorities and problems. Adheres to and supports the use of company policies and procedures, and good industrial and office safety practices.
  • Mid to senior level position working independently to support the Asset Management organization which includes the director, branch managers, engineers, supervisors and craftsmen who support AEDC facilities and utilities operation and maintenance.
  • Receives and screens phone calls directing them to the appropriate parties. Ensure coverage for management during their absence.
  • Composes and distributes complex correspondence using standard word processing systems or other software applications. Keeps abreast of key issues, commitments, and priorities of manager.
  • Research information and compiles briefing charts, summary reports and other presentation materials.
  • Tracks and coordinates with employees any required training requirements.
  • Schedules meetings, appointments and coordinates travel arrangements as needed.
  • Performs as the IT Equipment Custodian for the department.
  • Serves as the vehicle control officer for the department.
  • Maintains office supplies ensuring supplies are available when needed.
  • Develops and guides the implementation of procedures and of filing and record-keeping systems, including performing data entry and records management function.
  • Support scheduling, on-boarding (DD2875 and applications), workstation equipment ordering.
  • Support engineering processes associated with vaulting documents such as procedures and work instructions
  • Support engineering procurement processes
  • Determines action on important or emergency matters or knows whom to contact in absence of manager.
  • It is a condition of employment to wear PPE (Personal Protective Equipment) in accordance with supervisory direction and company policy.
  • Perform other duties as required.

Basic Qualifications:

  • High School Diploma or equivalent plus five years of applicable experience or any equivalent combination of applicable education and experience.
  • Excellent oral and written communication skills.
  • Thorough knowledge of grammatical rules, spelling, punctuation, required formats, technical vocabularies and terminology common to the assignment, Document Control and Records Management systems and common office procedures, and professional telephone practices.
  • Ability to obtain a BNH purchasing card.
  • Strong organizational skills.
  • Demonstrated skill in word processing and composition with a minimum typing speed of 55 wpm, and operation of standard computerized systems and other information transmission systems.
  • Demonstrated skill in utilizing Microsoft Office software suite
  • Effective leadership skills.
  • Must be able to obtain and maintain a security clearance to access the AEDC local area network.
  • Current U. S. Citizenship required.

Preferred Qualifications

  • Experience in an administrative or secretarial position
  • Knowledge of AEDC and AEDC processes
