Essential Job Duties
The Project Coordinator will serve as a primary source of project coordination and support as well as serve as the primary point of contact for day-to-day facility management.

The Project Coordinator works collaboratively with, and across, the various departments and functions within the college, where they will serve as the primary administrative lead in regard to strategic projects within the college.

Key responsibilities include but are not limited to:


  • Support the Director of Strategic Projects with project planning, communication, and implementation.
  • Assist with the compilation, analysis, and reporting of data related to managed projects
  • Design, develop, and manage Smartsheet projects, streamlining workflows and enhancing efficiency.
  • Lead and execute the Poole College Office Refresh Program, ensuring a modern and functional workspace environment.
  • Oversee daily facility management operations, proactively addressing maintenance, housekeeping, and grounds needs and ensuring a safe and functional environment.
  • Communicate facility-related updates and policies to the college and stakeholders.
  • Manage and mentor student workers (facility assistants), fostering a productive team environment and ensuring effective task completion.
  • Support the Director of Strategic Projects with the development, administration, and analysis of the annual college facilities survey.
  • Serve as facility and SAT liaison between the college and the university.
  • Assist in the management and tracking of keys and card access to Poole College facilities.
  • Plan, coordinate, and schedule periodic risk management trainings for the college.
  • Coordinate Waste, Reduction, and Recycling initiatives and requests within the college.
  • Conduct comprehensive database audits (e.g., keys, SAT card access, active phone lines), ensuring data accuracy and compliance with college policies.

The Project Coordinator will play a critical role in ensuring the success of key initiatives and maintaining a high-functioning, well-supported facility environment for the Poole College community. Through strategic coordination, clear communication, and proactive problem-solving, the individual in this position will contribute meaningfully to the college's ongoing growth and success.
Other Responsibilities
In addition to the core responsibilities of this role, there will be occasional opportunities to take on additional duties. This offers an opportunity to build on your skills, explore new areas, and gain a deeper understanding of the department's operations.
Qualifications






Minimum Education and Experience
  • Bachelor's degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • The project coordinator must thrive in a fast-paced, service-oriented environment and enjoy interacting with a variety of constituents to include students, vendors and administrators.
  • This individual must demonstrate great attention-to-detail and accuracy; have excellent written communication, interpersonal, and organizational skills, and, be able to manage multiple tasks and competing priorities.
  • This person must be comfortable taking initiative while also being an active participant within a team environment.
  • Proficiency in MS Office suite - Word, Excel, and PowerPoint or similar tools

Preferred Qualifications

  • At least 2 years of experience in university academic environment.
  • Previous event planning experience.
  • Experience with Moodle.
