Job Overview:

The Residency Manager, Medical Education Pediatrics, is responsible for the administration of the Pediatrics Program and related functions and pairs with the physician Program Director as part of the residency leadership.

The manager represents Medical Education Pediatrics both within Academic Affairs and to other internal/external departments and institutions; plans regional educational and professional sessions; oversees physician faculty evaluation; maintains educational, grants, and other related budgets and agreements for the Program; ensures Program compliance with applicable regulations and hospital policies and procedures, including those related to documentation, health, discipline and reimbursement; develops and coordinates resident onboarding; develops and implements ideas and programs to improve both the Residency Program and the functioning of the Department; and manages the day-to-day functioning of the Pediatrics residency program within the parameters of the Accreditation Council for Graduate Medical Education, hospital policies, system metrics and supervises residents and department Senior Executive Assistant.

Qualifications:

Required:

  • Bachelor's degree in management or social science
  • Three years of office management experience or equivalent experience in administration and office management in an academic health care setting

Preferred:

  • Master s degree
  • C-TAGME certified
  • Training Administrators of Graduate Medical Education

Essential Functions:

Maintain accreditation

  • Maintain competency in the current requirements of the Review Committee, RC, Accreditation Council, ACGME, and the American Board of Pediatrics, ABP, and ensure that the requirements are being satisfied, identifying deficiencies and/or making recommendations and executing changes to meet requirements as warranted
  • Manage and maintain confidential records of residents in anticipation of various audits, accreditations and future hospital credentialing for program graduates, as well as annual maintenance of the ACGME internet-based Web ADS, Accreditation Data System
  • Manage data and reporting for ACGME Next Accreditation System, NAS
  • Draft, distribute, and edit Annual Program Evaluation, APE, for submission to Rutgers Health
  • Assemble documents, plan, and manage ACGME RC accreditation site visit
  • Complete annual GME Census Survey through GME Track to populate program s listing on FREIDA
  • Advise Program Director of ACGME specialty s program requirement interpretation
  • Administrate, coordinate, and supervise graduate medical education program for residents
  • Represent Medical Education Pediatrics both within Academic Affairs and to other internal/external departments and institutions
  • Coordinate new resident scheduling to include physicals, HR paperwork, systems implementation, department material, etc,
  • Coordinate and proctor annual Resident in-Training exam including securing the examination site and returning any required documentation in a timely manner
  • Ensure complete and accurate submission of documentation for resident required training permit in a timely fashion
  • Coordinate monthly resident on-call schedules, as well as monthly rotation schedule, in-training examinations, certification courses, specialty board examinations and lecture /conference schedules, as necessary
  • Oversee resident contracting process
  • Maintain a confidential file and track residents clinical and educational work hours, guide residents regarding accountability
  • Maintain and update fellowship and job opportunities for residents including assisting residents with updating curriculum vitaeprogram director regarding such opportunities
  • If applicable, prepare profiles in ECFMG, Educational Commission for Foreign Medical Graduates, system and upload required documents to ensure timely issuance of J1 Visa s for international foreign graduates
  • Become proficient and maintain accurate information in New Innovation, ERAS, ACGME, and GME Track and any other departmental specific systems relating to specialty
  • Ensure residents have met all educational core and departmental requirements for graduation
  • Plan the graduation ceremony and complete exit documentation of graduating residents
  • Maintain tracking system on expenditures for residents and faculty for conferences, books, etc,
  • Review submitted expenses for reimbursement
  • Prepare all forms and check for accuracy of totals

Advise the Chairman, Program Director, and Chief Academic Officer

  • Oversee the overall functioning of the program in conjunction with the Program Director, and Chair, as necessary
  • Advise Program Director on program developments, changes in GME and ACGME requirements and regulations and implement change to ensure compliance
  • Prepare and disseminate to all necessary parties departmental and residency program information for program meetings as well as departmental/residency policies on a regular basis
  • Coordinate calendars to schedule conference calls, video conferencing for Program Director/ CAO, written communication, minutes for Program meetings
  • Manage travel including registering for conferences & educational meetings, early and final travel reimbursements for Program Director
  • Manage the program s budget at the discretion of the Chair/Program Director and CAO
  • Maintain tracking system on expenditures for residents and faculty for conferences, books, etc,
  • Review submitted expenses for reimbursement
  • Prepare all forms and check for accuracy of totals
  • Contribute to Medical Education leadership
  • Contribute to academic department activities, including innovations, enhancements, and team-building
  • Help foster safe, strong, and positive work environment
  • Attend Medical Education staff committee meetings, support co-workers by offering assistance, encouragement and monitoring
  • Participate in the national ABP meeting and report on educational developments
  • Recruit resident physicians
  • Oversee the process for recruiting qualified new physicians into the Program annually
  • Be proficient in the National Residency Matching Program, the Match, and Electronic Residency Application Service, ERAS, systems
  • Assess candidates according to Monmouth, ACGME, and NJ Board of Medical Examiners criteria to ensure that only eligible applicants are interviewed, selected, and hired
  • Arrange interviews, candidate evaluation, and the Program s final applicant ranking submission
  • Conduct new resident onboarding to orient new hires and assure preparedness for clinical and educational duty
