Job Summary

The position requires technical proficiency in multiple software, office hardware and computer systems. As principal calendar, project and communication support to the Associate Director of Professional Billing/Managers/Administrative Supervisor, the incumbent responds through verbal and/or written communication to a wide variety of inquiries from faculty, staff, the public and the highest levels of the UC system (e.g., Campus and University administration, Chancellor's Office, and the Offices of the President and the Regents). The position researches requests for meetings and helps to track an array of correspondence; manages complex calendars to determine priorities of meetings and resolve scheduling conflicts; and handles all aspects of travel arrangement and reimbursement. Incumbent partners with counterparts throughout UC Davis and UC Davis Health to fulfill daily operations, as needed. This position is co-located with the Administrative Supervisor for the Revenue Services Executive Director and serves as the primary backup to this Admin Supervisor. This position manages office supply and breakroom inventory, ordering and stocking. The position acts as liaison for all facility, technology & maintenance related requests for the Professional Billing suite.

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • High School Diploma or equivalent work experience or training
  • One (1) year of experience as a Patient Biller I (or equivalent entry-level billing role) performing revenue-cycle billing, collections, and reconciliation duties.
  • Experience working with Microsoft Office
  • Keyboarding skills to effectively operate computer terminal and P.C.; prepare internal and external correspondence and forms as required.
  • Ability to effectively operate standard office equipment including but not limited to photocopier, fax, and calculator and scanner.
  • Ability to file in alphabetical, numerical, and chronological order.
  • Ability to read and comprehend department policy, internal and external correspondence.
  • Writing skills to effectively compose internal and external correspondence.
  • Proofreading skills to identify and correct own errors.
  • Communication skills to appropriately respond to account inquires, both in person and over the telephone, communicate effectively with all internal and external customers.
  • Ability to work independently.
  • Ability to work cooperatively and constructively with employees and Administration.
  • Ability to work accurately and quickly under pressure to meet deadlines established by the department, government programs, or private insurance carriers.
  • Ability to be flexible in a quickly changing environment.
  • Ability to follow verbal and written instructions.
  • Ability to organize and prioritize tasks.
  • Ability to track completed work using Microsoft Word and Excel.

Preferred Qualifications

  • One (1) to two (2) years of experience in medical billing, accounts receivable, or patient accounting
  • Experience working with Epic
  • Working knowledge in Epic Professional Billing Resolute preferredWorking knowledge of Microsoft Office Software preferred.
  • Ability to identify various types of Explanation of Benefits (EOB) and other payor correspondence.
  • Math skills to accurately add, subtract, multiply, and divide.
  • Analytical skills to assess account balances and make determination/decision on further action.
  • Knowledge of medical terminology to correlate medical reports to actual charges.

Department Overview

Under supervision of the Administrative Supervisor and in direct partnership with the Associate Director of Professional Billing the incumbent provides high-level administrative support to the Associate Director of Professional Billing/Administrative Supervisor and, at times to other executive leaders such as Revenue Services Executive Director/Patient Financial Services Directors and Managers as assigned. This includes, Patient Accounting, Admitting, ER Administration, Customer Service, Cash Management, Primary Care Network and Health Information Management, as well as their admins. The incumbent is expected to utilize initiative, judgment and discretion in researching, analyzing and compiling necessary background information to assist executive leadership and support staff in responding to a wide variety of issues; research and initiate an array of correspondence on behalf of executive leadership; independently assume responsibility for issues that do not require the involvement of executive leadership; apply problem solving techniques to resolve various situations; and provide referrals to appropriate offices and authorities.
