The University of Georgia College of Veterinary Medicine, founded in 1946, is dedicated to training future veterinarians, providing services to animal owners and veterinarians, and conducting investigations to improve the health of animals as well as people. | Position Summary |
The Biomedical Physiology program is the first undergraduate program in the College of Veterinary Medicine. The program is housed in the Department of Physiology and Pharmacology. The minor was established in Fall 2021 and the major in Fall 2022. Prior to the opening of the program, there was no framework for undergraduate activities in the College. Our program is rapidly growing with 1086 majors as of October 1, 2025. Our students are primarily interested in health-professions and life-science careers.
The primary responsibilities of this position are meeting with assigned students and students interested in the program in-person or remotely, providing each student with accurate information about the student's current progress, making recommendations about course selection for future semesters, and generating advising forms and notes with sufficient detail to document the interactions. Advisors maintain consistent contact with their students and respond in a timely manner to questions from their students. Advisors also assist students with referrals to other units at
UGA including the Office for Student Success and Achievement, Accessibility and Testing, and the Pre-Professional Advising Office. An Advisor will demonstrate a perspective that genuinely appreciates, understands, supports, and effectively accommodates diverse student backgrounds and experiences.
Individuals in the Academic Advising Supervisor position also have significant administrative and leadership/supervisory responsibilities in support of the program. Administrative duties include assigning new students to advisors for initial orientation advisement followed by permanent advising assignments, continual updating of lists and listservs as students enter and depart from the program, certifying that graduation requirements have been met, gathering and reporting information on our students to the Department and College, and assisting in tracking career outcomes for students.
Individuals direct, coordinate, and evaluate the activities of Biomedical Physiology advisors. This also includes being the primary mentor for newly hired advisors. Individuals in this position will work with the program Director to develop and implement plans to enhance the functions of the Department's advising group. Individuals also represent the Biomedical Physiology program and the College of Veterinary Medicine at advising leadership meetings and other events.
Regular attendance at staff meetings and advising workshops is expected. This involves constant striving to improve job skills related to academic advising and to learn more about the functioning of the University, particularly as it relates to advising.
An Advisor should be available to work throughout June, July, and early August orientation sessions for incoming first-year and transfer students, as well as at orientation sessions conducted in December and January. |

- Advisees will be lower- and upper-level and transfer students.
- Maintain consistent contact with their students and respond in a timely manner to inquiries from their students.
- Maintain communication with students experiencing academic difficulty and participate in the Connect and Complete process with these students.
- Serve as the primary advisor who works with students who have received Academic Warnings, are on Academic Probation, or have Academic Dismissal.
- Assist students with referrals to other units at UGA including the Office for Student Success and Achievement, Accessibility and Testing, and the Pre-Professional Advising Office.
- This position involves extensive prep time and proficiency with various campus systems, software, and resources including Athena, Degree Works, and SAGE.

Assist in Coordination of the Undergraduate Program:
This involves meeting the administrative needs of the program related to academic advising. Duties include assigning new students to advisors for initial orientation advisement followed by permanent advising, continual updating of lists and listservs as students enter and depart from the program, certifying that graduation requirements have been met, gathering and reporting information on our students to the Department and College, and assisting in tracking career outcomes for students.
- Assign freshman and transfer students to the Biomedical Physiology advisors for orientation session advisement.
- After the initial session, assign new students to the program's advisors.
- Update advisor assignments in SAGE management for over 1000 students.
- Update the master advising list that tracks all students in the program, as well as update lists of majors via Banner and Argos.
- Search for and initiate contact with students who are new to the program.
- Maintain listserv memberships for majors and minors and use the listservs to disseminate information to our majors and minors as needed.
- Serve as Graduation Certification Officer for the program for all students. This includes verifying that academic requirements have been met, resolving discrepancies, and remaining up-to-date on and communicating University policies related to graduation.
- Coordinate graduation-related events with the College Convocation Planning Committee.
- Serve as liaison to the Registrar's Office to communicate degree program changes and remain informed regarding modifications to the University's curriculum policies and procedures.
- Learn to utilize Banner for room and course scheduling and provide exceptions and overrides to students enrolled in our courses.
- Track students' career progression post-graduation.
- Support recruitment, enrollment, and retention functions in the program.
- Perform data entry on the program's website.
- Pull reports from Argos and provide information to the Department and College in a usable manner including, but not limited to program enrollment metrics, Dean's and President's Lists, and curriculum changes.
- Provide analytical support for the program by extracting and compiling data from reports to assist with establishing programmatic operational policies and procedures and with strategic planning.
- Serve as a liaison to academic departments and provide timely departmental updates to our Department's advising staff.
- Arrange periodic meetings with the Pre-Professional Advising office to update us on changes to pre-professional student needs.

Leadership/Supervisory Activities:
Given that individuals at this level are highly experienced, responsibilities include directing and evaluating the advising staff, being the primary mentor for newly hired advisors, and coordinating participation of the advising staff in their duties and at events related to their duties. Individuals in this position will also represent the Biomedical Physiology program and the College of Veterinary Medicine at advising leadership meetings.
- Direct, coordinate, and evaluate the activities of Biomedical Physiology advisors.
- Implement training and serve as lead mentor for new advisors, including recommending standardized advising practices.
- Coordinate and support advisor professional development through training and certifications offered by the University.
- Work directly with the Biomedical Physiology Director on developing goals for enhancing the program's academic advising experience for students.
- Plan and implement changes in programmatic operational policies and procedures as they relate to the advising staff.
- Plan and conduct the first day of Freshman and Transfer Student orientation sessions throughout summer and early January. This includes coordinating the presence of advising, staff, and faculty.
- Serve as the main point of contact for academic advising in consultation with the Biomedical Physiology Program Director.
- Represent the College on the Academic Advising Coordinating Council (AACC) meetings, AACC small college meetings, and various other ACC subcommittee meetings as a voting member and update advisors on subsequent policy changes.
- Attend Advising Leadership and Orientation Huddle Meetings as the representative for the College.
- Attend other meetings related to student success, for example Experiential Learning meetings when faculty cannot attend.
- Teach a Training and Development class once a year for Cross-College Advisement with FACS and Public Health.
