To be considered for this role, you must:



  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis. C2C or 1099 is not permitted for this position
  • Live within a 40-minute commute of our client's location and be able to work on-site on Tuesdays and Wednesdays


**Your Impact:**

In this vital role, you will be the go-to expert for operational excellence, directly influencing productivity and organizational flow. Your contributions will ensure that executives and teams have the resources and support needed to achieve their goals. You will:

* Masterfully manage complex calendars, strategically scheduling meetings to optimize executive and team availability and meet critical deadlines.

* Orchestrate travel arrangements and process expense reports with precision, ensuring smooth logistics and accurate financial tracking.

* Facilitate a seamless onboarding experience for new team members, handling equipment, software access, badge issuance, and seat assignments promptly.

* Maintain optimal office functionality by monitoring, ordering, stocking, and organizing office and kitchen supplies.

* Coordinate executive lunches, managing logistics and processing related expenses efficiently.

* Uphold the highest standards of confidentiality in all interactions and tasks.

* Collaborate with other administrative professionals to support large-scale meetings and events.

* Provide responsive and proactive support to colleagues, fostering a collaborative work environment.

* Efficiently reserve conference rooms using online scheduling platforms.

* Conduct thorough research to support various departmental needs.

* Ensure the smooth, timely, and efficient operation of the department through routine and complex administrative coordination.

* Draft clear and effective email communications.

* Anticipate the needs of executives, providing proactive support and solutions.

* Serve as a key communication liaison, facilitating effective information flow.

**Required Qualifications:**

To thrive in this role, you will bring a blend of experience, technical prowess, and a proactive mindset:

* 5+ years of dedicated work experience in an administrative support capacity.

* Demonstrated working knowledge of problem-solving and decision-making skills.

* Proficiency across Microsoft Office Suite, including Outlook (with advanced calendar management), Word, and Excel.

* Proven experience in making travel arrangements and submitting post-travel expenses.

* Extensive experience with ordering and stocking office supplies.

* Demonstrated ability to plan and execute large meetings, including reserving conference rooms.

* Experience with organizing and ordering catering/lunches, including setup.

* Proven capability to provide backup support to other executive assistants.

**Nice-to-Have Qualifications:**

* A Bachelor's degree or specialized training/relevant professional qualification.

* Familiarity with travel and expense management software.

The target hiring compensation range for this role is $27.00 to $30.00 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
