Genesis10 is seeking an Office Administrator / Account Coordinator for our Frisco TX. Branch office 75034. This is a Full Time/Perm position which can be worked mostly remotely (90+ % Remote).

Compensation, $50,000 - $60,000 Dependent on Experience

Job Description
We are seeking a highly organized and detail-oriented Office Administrator/Account Coordinator to provide administrative, operational, and onboarding support in a fast-paced, team-focused environment. The ideal candidate is proactive, dependable, and comfortable working both independently and as part of a virtual team. This role requires excellent communication skills, strong multitasking abilities, and a commitment to accuracy, compliance, and exceptional service.

Key Responsibilities
Administrative & Operational Support:

  • Perform detailed data entry tasks, including formatting job requirements, posting positions to various online platforms, submitting resumes, tracking interview activity, and preparing ad-hoc reports.
  • Maintain accurate and up-to-date records in internal systems when positions are filled, cancelled, or closed across multiple systems.
  • Manage multiple shared inboxes using Microsoft Outlook, ensuring timely and professional communication.
  • Assist with additional administrative tasks and special projects as assigned.
  • Review, validate, and process employee timesheets.
  • Prepare client invoices and collaborate closely with the accounting team to ensure accuracy and timely completion.
  • Partner with accounting to verify billable hours prior to invoicing.
  • Produce monthly client reports and track Statements of Work (SOWs).
Onboarding & Compliance:
  • Coordinate new hire onboarding activities for various clients, including collection of required documentation, scheduling orientations, and ensuring timely completion of client and company-specific requirements.
  • Monitor compliance workflows to ensure all onboarding tasks are completed accurately and on schedule, including background checks, employment verifications, I-9 documentation, and other client-required screenings.
  • Maintain accurate records within internal systems and compliance platforms, ensuring confidentiality and adherence to regulatory standards.
  • Partner with internal teams, recruiters, and hiring managers to resolve onboarding issues, delays, or discrepancies.
  • Support periodic audits and compliance reviews to ensure alignment with internal policies and client expectations.
Qualifications & Required Skills:
  • Minimum of 2 years of experience in an administrative or support role; staffing industry experience preferred.
  • Strong analytical and problem-solving abilities with sound judgment in a deadline-driven environment.
  • Excellent written and verbal communication skills, interpersonal skills, and a positive, customer-focused attitude.
  • Demonstrated ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with strong typing skills.
  • Ability to work independently, prioritize tasks, and proactively ensure high-quality deliverables.
Preferred / Desirable Skills:
  • Experience with applicant tracking or vendor management systems such as Fieldglass, Beeline, JobDiva, or similar tools.
  • Familiarity with onboarding systems, HR compliance processes, or employment-related documentation requirements.
