Position Purpose







This position is responsible for providing executive administrative support to Renown's President's Council executive leadership. The Executive Assistant requires a high degree of professionalism, strong organizational skills, and the ability to handle confidential information with discretion. The incumbent must be proactive, efficient, and capable of anticipating the needs of the executive team within a fast-paced healthcare setting.





















Nature and Scope







This position is responsible for communication, which is often of a confidential nature, and coordination of workflow for the President's Council executives of Renown Health. The incumbent has day-to-day contact with leadership, administrative and management staff, employees, members of the Medical Staff, frequent external contact with members of all boards, attorneys, government offices and various organizations, patients and patients' families.

Key responsibilities include, but are not limited to:

1. Calendar Management:

o Schedule and manage meetings, appointments, and travel arrangements.

o Prioritize and coordinate calendar events to optimize the executive's time.

2. Communication:

o Screen and manage phone calls, emails, and other correspondence.

o Draft and edit correspondence, reports, and presentations.

o Serve as a liaison between the executive and internal/external stakeholders.

3. Administrative Support:

o Prepare and process documents, reports, and presentations.

o Maintain and organize files, records, and documentation.

o Assist in project management and follow-up on action items.

4. Travel Coordination:

o Arrange travel itineraries, including flights, accommodations, and transportation, the Executives, their subordinate staff and Board members as needed.

o Prepare travel expense reports and ensure timely reimbursement.

5. Meeting and Event Planning:

o Organize and coordinate meetings, conferences, and special events.

o Prepare meeting agendas, take minutes, and ensure follow-up on action items.

6. Confidentiality:

o Handle sensitive and confidential information with discretion and integrity.

o Maintain confidentiality regarding all executive matters and company affairs.

7. Office Management:

o Oversee office supplies and equipment, reorder as necessary.

o Ensure a well-organized and efficient office environment.

The Executive Assistant must be proficient at an executive professional level in English grammar, punctuation, spelling, diplomacy, typing, and the use of office equipment and computer technology. Provide highly effective written communication skills, in English, including the ability to compose and edit concise, professional correspondence and reports in good business form. The role must be able to problem solve and use good, independent judgments within scope of responsibility while working cooperatively, diplomatically and productively with peers and all levels of management in addition to the ability to function independently, prioritize responsibilities and cope with a large volume of work with

Education:



Must have working-level knowledge of English language, including reading, writing, and speaking English. Requires the completion of classes related to business skills, management, or computers. Preference will be given to applicants with a business college education.



Experience:



At least five years of responsible administrative secretarial and computer experience. Applicants with hospital background and Microsoft Office software experience will be given preference.

Computer / Typing:



Must be proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel and Word and have the ability to use the computer to complete online learning requirements for job-specific competencies, access online forms and policies, complete online benefits enrollment, etc. Requires the ability to type and efficiently use word processing equipment and operate modern office machines.
