The Client Coordinator is responsible for processing cases through CMS and client portals, entering accurate data into internal systems, and ensuring all required documentation is complete and compliant. This role requires strong attention to detail, excellent customer service, and the ability to work efficiently in a highvolume, deadlinedriven environment.
*Key Responsibilities* *Case Processing & Data Management* * Process cases through CMS and client portals by entering, reviewing, and verifying eligibility and case details. * Handle highvolume data preparation, data entry, documentation, tracking, and filing with accuracy and consistency. * Maintain complete and precise digital records in compliance with company, regulatory, and CMS standards. *Medical Record Handling* * Retrieve medical records from external client sites and upload them into the internal database. * Review medical records to ensure all required sections are complete, accurate, and properly formatted. * Assign completed medical records to appropriate clinical reviewers for treatment or diagnosis evaluation to support insurance claim decisions. *Client Communication & Support* * Respond promptly and professionally to client emails regarding case questions, status updates, concerns, or information requests. * Use internal systems and databases to enter, retrieve, and update client or case information. * Maintain ongoing communication with QA teams regarding pending reports, case progress, and workflow requirements. *Provider Coordination* * Contact physicians or clinical providers to assign cases, gather missing information, or update case statuses. * Ensure all communications and updates are accurately reflected in internal records. *Compliance & Quality* * Follow established guidelines for HIPAA, CMS requirements, and company policies. * Uphold all quality benchmarks, confidentiality standards, and documentation expectations. *Required Skills* * Data entry * Computer literacy * Microsoft Office (Excel, Outlook) * Electronic medical records * Medical terminology (preferred) * Insurance or healthcare industry familiarity * Salesforce CRM or similar systems * Customer service * W365 / Edge *Top Skills* * Data entry * Computer literacy * Microsoft Office * Microsoft Excel * Outlook * Insurance * Medical record handling *Qualifications* *Must-Haves* * Reliable internet connection and private workspace * High school diploma or equivalent * Strong communication skills * Dependability and timemanagement skills * High level of computer proficiency *Nice-to-Haves* * Prior experience reviewing contracts * Experience in healthcare, insurance, or medical documentation * Strong attention to detail and accuracy *Team Information* *IDR (Independent Dispute Resolution) Team:* *This team supports processes established under the federal No Surprises Act*, ensuring accurate documentation and fair case handling. *Experience Level* Entry Level *Job Type & Location*This is a Contract position based out of Rockford, IL. *Pay and Benefits*The pay range for this position is $15.00 - $15.00/hr.
