Program Duration

Our internship program runs approximately 30-40 hours per week, from June 1st through mid-August.

The Impact You Will Have

The role encompasses comprehensive support for event planning, logistics, marketing, on-site operations, documentation, communication, budget management, and creative input. Responsibilities include assisting with the coordination of various events, developing timelines, supporting logistics such as venue bookings and catering, and ensuring necessary materials are prepared. Marketing efforts involve creating promotional content and managing registration processes. During events, on-site support is provided for setup and attendee management while maintaining operational flow. Additionally, documentation of planning meetings and post-event feedback collection is conducted for reporting purposes. Communication with vendors and sponsors is essential for alignment, while budget tracking ensures financial constraints are met. Finally, creative contributions are encouraged to enhance overall attendee experiences.

Event Planning Support

  • Assist in the planning and coordination of events, for various departments and for both internal/external audiences.
  • Support in the development of event timelines and schedules.

Logistics Coordination

  • Maintain an inventory of supplies and assist in ordering materials needed for events.
  • Support the research, coordination, compilation, and summarization of eventlogistics needs, including venue bookings, vendor evaluations, transportation, catering, and audiovisual requirements.
  • Ensure all necessary equipment and materials are set up before the event.

Marketing and Promotion

  • Assist in the development of marketing materials, including email, signage and event websites.
  • Help manage event registration and ticketing processes.

On-Site Support

  • Provide on-site assistance during events, including setting up, managing attendee registration, and addressing any last-minute issues.
  • Help facilitate smooth operations and ensure that event schedules are adhered to.

Documentation and Reporting

  • Take notes during planning meetings and document key decisions.
  • Assist in gathering feedback from attendees after events and prepare reports for analysis.

Communication and Networking

  • Liaise with vendors, sponsors, and stakeholders to ensure all parties are informed and aligned.
  • Help maintain relationships with partners and sponsors.

Budget Management

  • Assist in tracking expenses and managing the event budget.
  • Help ensure that costs are kept within budget constraints.

Creative Input

  • Contribute ideas for themes, formats, and activities to enhance the attendee experience.
  • Assist in the creation of event content and programming.

Requirements

To be considered for this internship, candidates must meet the following minimum requirements:

  • We require interns to be enrolled in an educational program during the duration of the internship program.
  • Completed a minimum of sophomore year (4 semesters) by the start of the internship.
  • Communication Skills: Strong verbal and written communication skills are essential for liaising with various stakeholders.
  • Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
  • Attention to Detail: Ensuring that all aspects of the event are executed flawlessly.
  • Teamwork: Ability to work collaboratively with a diverse team.
  • Proficient in Technology: Familiarity with tools for event management, internal communication platforms, and spreadsheets.
  • Capability to work in a hybrid environment, both at home and onsite at least 2 days per week.
  • Evening and weekend support may be needed.

    • Although we operate in a hybrid environment, there are certain weeks when this role requires being in the office two+ days for event preparation and execution.

Compensation and Benefits:

Pay Range: $22.50 - $23.50 - $24.50 Hourly

Pay is based on several factors which vary based on position, including skills, ability, and knowledge the selected individual is bringing to the specific job.

Our hybrid approach is designed to balance flexibility with meaningful in-person connection and collaboration. We come together in the office two days each week - most teams designate at least one anchor day to ensure team interaction. These in-person moments foster relationships, creativity, and alignment. The rest of the week you are empowered to work remote.
