The Program Assistant position provides comprehensive administrative and operational support to the department, focusing on project coordination, facilities management, and communication. Responsibilities include managing facility requests, tracking construction progress, preparing reports, and assisting with departmental communications. The role also involves handling procurement and basic financial transactions, supporting special projects, and participating in long-range planning initiatives. This position serves as a key resource for troubleshooting and ensuring efficient workflow within the unit.

Duties & Responsibilities:

Project & Facilities Coordination
  • Assist the Business Administrative Associate with project management tasks and coordinate facilities requests.
  • Maintain and organize physical and digital project files, records, and databases (plans, permits, contracts, change orders) to ensure compliance and easy retrieval.
  • Manage facility requests from other units within the college, ensuring timely resolution and proper follow-up.
  • Liaise with the construction team to monitor and track project progress.
  • Act as a central communication point between project managers, contractors, subcontractors, clients, and internal departments.
  • Assist in planning and coordinating project tasks and deliverables, tracking progress against established schedules and milestones.
  • Coordinate logistics for on-site activities, including staging of materials, equipment delivery, and scheduling of inspections and maintenance.

Reporting & Documentation
  • Prepare and process reports related to facilities and maintenance functions.
  • Draft and send communications and emails on behalf of the Department Head and Business Administrative Associate.

Financial & Procurement Support
  • Order supplies, reconcile basic financial transactions, and prepare shipments for the department.
  • Assist with budget tracking, expense monitoring, and cost analysis.
  • Process invoices, purchase orders, and material requisitions, maintaining liaison with the purchasing office and outside vendors for project-related needs.

Administrative & Strategic Support
  • Provide general administrative support for the unit.
  • Participate in long-range planning and goal-setting activities.
  • Conceive and administer special programs and projects; serve as a trouble-shooter for the unit.
  • Consult with Department Head, Business Administrative Associate, and Building Maintenance Superintendent.
  • Perform other related duties and participate in special projects as assigned.

  1. Bachelor's degree.
