Job Description
Leads major construction project planning, resourcing, staffing, supply and subcontract management, progress reporting, troubleshooting and people management. Develops assignments, timetables and responsibilities for team members. Identifies, prepares and obtains regulatory approval for combined construction and operating licenses (COL), early site permits (ESP), and other permits required by industry regulatory agencies and state and/or local governments for the construction and operation of facilities. Ensures that materials and equipment resources are delivered on time. Interfaces between the project team, construction site and management.
Primary Purpose
This role provides administrative and coordination support to the Owner team and the Project Contracts team in the day-to-day management of a project specific EPC Agreement, whether during pre-execution (taking minutes of meetings and supporting activities such as tracking and preparation of agreement documents), or during execution (supporting oversight of the active project administration). The position focuses on tracking, reporting, and maintaining the status of key contract activities, including change orders, contractual correspondence, obligations, lien waivers, information management, reporting, and follow up actions with internal stakeholders. It ensures consistent use of standardized processes, procedures, templates, and tools to enable effective EPC contract administration and strong cross functional collaboration. The role also contributes to continuous improvement by identifying opportunities to enhance efficiency, clarity, and alignment with evolving project needs.
Duties and Responsibilities
- Track, review, and report on all change orders, contractual letters, and related correspondence to ensure timely action, proper documentation, and visibility for project and senior contract teams.
- Maintain and update detailed contract related logs and registers-including change orders, correspondence, approvals, and deliverables-to support accurate contract administration and audit readiness.
- From time to time assist in developing and rolling out EPC Agreement trainings for the Owner Project team for their awareness and cross functional issue mitigation and collaboration with support of more senior Owner team members.
- Prepare, complete, and organize contractual approval forms, ensuring all required inputs, supporting documents, and internal justifications are properly captured before submission.
- Format, proofread, and consolidate contract documents, amendments, and internal approval packages in accordance with corporate standards and document control requirements.
- Coordinate internal approval workflows by routing documents to appropriate stakeholders, tracking progress, and ensuring senior contract staff have the information needed for timely decision making.
- Assist with drafting routine and administrative correspondence, transmittals, and internal memos to support the contracts function and maintain consistent communication standards.
- Perform general administrative duties-including organizing files, managing document flow, scheduling contract related meetings, and supporting senior team members with routine contract administration tasks-to ensure smooth operation of the contracts department.
- Performs other duties as assigned.
Qualifications
Education
- Typically requires a 4 year degree in a relevant field, or equivalent combination of relevant education and experience.
Experience
- 2+ years of professional experience in a corporate environment. Required
- 1+ years of professional experience in scope related to energy, oil and gas, infrastructure, major construction, and/or operations. Required
- 1+ years in a comparable contracts administration or contracts management role within a complex capital construction project including LNG. Preferred
1+ years of experience administering an EPC Agreement. Preferred.
1+ years of experience with dispute resolution, contracting, and commercial legal experience. Preferred.
- 1+ years of experience with procurement and supply chain management. Preferred.

- Construction Management - Oversees construction projects from the beginning planning stages all the way through completion to ensure quality delivery with regards to the project's schedule, cost, quality, safety, scope and function
- Project/Program Management - The process of leading the work of a team to achieve goals and meet success criteria at a specified time
- Regulatory Compliance - Ensuring an organization's adherence to laws, regulations, guidelines and specifications relevant to its business processes.
- Project Scheduling - A mechanism to communicate what tasks need to get done and which organizational resources will be allocated to complete those tasks in what timeframe.
- Contract Management - Understand contract administration processes prior and post execution of fit for purpose major project agreements for the execution of major construction projects and Owner oversight of such agreements.
- Health, Safety & Environment (HSE) Strategy - Identifies, reduces and removes potential hazards to a physical and working environment, develops best practices for accident prevention, accident response etc., and fosters a positive health, safety and wellness culture.
- Project Risk Management - The process of identifying, analyzing and responding to any risk that arises over the life cycle of a project to help the project remain on track and meet its goal.
- Purchasing/Procurement Management - The process of sourcing and purchasing goods and services from an external source, like a third-party vendor or supplier.
- Supply Chain Analysis - The process of evaluating every stage of a supply chain starting from the time the business acquires raw materials or supplies from its suppliers to the delivery of final products to the customers.
- Documentation & Records Management - Creating, distributing, using, maintaining and disposition of recorded information maintained as evidence of business activities and transactions.
Preferred Knowledge, Skills and Abilities
- Strong attention to detail with the ability to maintain accurate logs, registers, and organized contract files.
- Clear written communication skills for preparing simple letters, forms, and routine contract documentation.
- Proficient in MS Office with the ability to format, proofread, and prepare clean, well organized documents.
- Proficient in MS Excel, PowerPoint, Adobe and other tools used for administrative and reporting tasks.
- Reliable organizational and administrative skills, with the ability to support contract team members, manage routine tasks, and follow established procedures

Work Schedule
HYBRID: Work a combination of onsite and remote days each week, typically 4 days per week onsite.
