The Freight Bill Coordinator is responsible for managing and reconciling all freight bills that do not match estimated amounts, ensuring accuracy, timeliness, and compliance with established financial and transportation processes. In this role, you will research variances, resolve billing discrepancies, and maintain precise records to support efficient freight audit and payment operations. You will collaborate closely with internal teams and external transportation partners to obtain supporting documentation, validate charges, and drive resolution of outstanding issues. This position requires strong attention to detail, excellent organizational skills, and the ability to work with large data sets in a fast-paced, deadline-driven environment.

WHAT YOU'LL DO:

  • Dispute Review and Resolution: Review all disputes submitted via Contract Carriers for accuracy and ensure timeliness and accuracy in approval/denials. Reconcile all exceptions to prevent payment delays. Escalate specific payment approvals/scenarios via the established reporting chain.

  • Training and Process Documentation: Provide training to contract carriers/vendors on the Accessorials process. Document processes and variance exceptions.

  • Analysis and Coordination: Conduct root cause analysis for totals not in line with contractual rates and agreements. Coordinate discussion with various departments to validate Accessorial requests.

  • Education & Experience: High School Diploma or GED and 2+ years of relevant freight billing experience, required.

  • Technical Skills: Working knowledge of Microsoft Excel and Word.

  • Attention to Detail: Strong accuracy in reviewing, reconciling, and validating billing information.

  • Analytical Skills: Ability to identify discrepancies, research issues, and recommend resolutions.

  • Organizational Skills: Ability to manage a high volume of invoices and documentation efficiently.

  • Communication Skills: Clear verbal and written communication when interacting with carriers and internal stakeholders.

  • Teamwork: Works well with others in a fast-paced, dynamic environment.

  • Professionalism: Respectful, approachable, and team-oriented while building strong working relationships and a positive work environment.

OTHER SKILLS THAT MAKE YOU STAND OUT:

  • Bachelor's Degree, preferred.
