Description

Position Summary

The Purchasing Assistant provides supportive services for the procurement of goods and services under the guidance of the Purchasing Manager, as well as management of the agency's fleet. The Purchasing Manager has supportive responsibilities include the need to understand company needs based on stock, inventory, projects and plans as well as the understanding of general sales and market trends according to the industry. The Purchasing Assistants may be responsible for the development of successful relationships with suppliers, distributors and manufacturers while ensuring that the required products are always in stock as well as manage the purchasing requests of COMHAR programs.

Duties and Responsibilities

Manages Company Fleet including:

  • Maintain all Registration (Dept of Transportation PA)
  • Maintain GPS Reports & Monitor all activity (Azuga)
  • Coordinate repairs on all COMHAR vehicles (Inspection & Repairs, billing)
  • Handle vehicles insurance issues (accident, claims, repairs of vehicles)
  • Handle Tickets & Violation for agency (payment arrangements for violations)
  • Maintain EZ Passes for vehicles
  • Maintain swipe cards & parking permit for sites
  • Handle Gas Cards & Pins for staff & vehicles including reports
  • Assist fiscal in the renewal of yearly insurance for company
  • Retrieve Licenses & Permits for Company Buildings
  • Lead Safe reports from the City of Philadelphia
  • Managing purchase request for programs
  • Maintain daily Purchasing Spreadsheet
  • Supporting administering driving road test to employees and temp staff
  • Creates purchase order documents into the Great Plains system
  • Maintaining updates on COMHAR facilities and vehicle allocation list.

Requirements

Education, Employment and Credential Requirements

  • High school diploma or GED required
  • College credits in business, accounting or other related course toward a degree are preferable
  • 2-3 years of experience in procurement and/or an equivalent combination of education and experience in related facilities, storeroom or customer service work environment
  • Valid driver's license required. (Must be able to move about COMHAR service areas throughout the day to provide appropriate oversight and coordination and meet job duties as needed and required.)
