Overview

The Senior Specialist (2L) is responsible for supporting all Operations and Construction departments within Brooklyn/Queens Electric Operations. This includes vendor service administration and management, capital tool coordination, service contract oversight and control, vehicle coordination, and material requisitions and inventory management. This position is needed to ensure effective vendor contract management and ensure that Supply Chain purchasing specifications and requirements are followed for the Construction and Operations groups within Brooklyn/Queens Electric Operations.

Responsibilities

Core Responsibilities
  • Coordinate and establish required Purchase Orders needed to support Brooklyn/Queens Electric Operations, including full use of the Oracle system, establishing and renewing purchase orders, processing requisitions, receipting material, reviewing invoices and ensuring timely payments to vendors. Purchase orders include services, tools, equipment and materials. The Senior Specialist is responsible for working with Supply Chain to ensure sufficient supplies are available and that replenishment quantities accurately support the work organizations.
  • Act as Capital Tools Coordinator, managing the ordering, procurement, issuance and inventory of consumable and capital tools for the operations sections in Brooklyn/Queens. This includes coordinating XM equipment budgeting and purchase in conjunction with the Brooklyn/Queens Financial Planning & Analysis group and acting as a liaison between Facilities and Field Services (Operations Services) and BQEO and assisting in prioritizing equipment requests from BQEO.
  • Oversee the use of parking services vendors, including self-audits and reconciliation of timesheets and invoices.
  • For all assigned contracts, perform and oversee contractor oversight processes and perform contractor oversight on vendors serving the Brooklyn/Queens region. This includes parking services vendors, tow trucks, vector and environmental service contractors, underground inspection contractors and other service vendors utilized by Brooklyn/Queens Electric Operations.
  • Coordinate the ordering, replacement and activation of mobile phone devices and related communication equipment. This includes maintaining the inventory control listing of all equipment assigned to Brooklyn/Queens Electric Operations by department, section and employee. Work with Financial Planning & Analysis on all telecommunication issues and assists in audits as required.
  • Serve as Brooklyn/Queens Electric Operations Vehicle Coordinator. The Vehicle Coordinator high level responsibilities are managing and updating fleet assignments, being the point of contact for fleet management in the EZVMS (Fleet Management System), coordinating the resolution/payment of parking violations with Automotive Engineering, and managing and coordinating all EZ Pass accounts and ensure the processing of payments.
  • Act as Strike Contingency Coordinator for Brooklyn/Queens Electric Operations. This includes assigning job functions to all lead management and augmentee employees, scheduling training for those employees and handling all aspects of the administration and preparation for a strike by coordinating with various departments including security, food services, facilities and transportation.
  • Support clerical specialists and other department needs as required.
  • Provide strategic leadership and oversight across finance, training, and operations support functions by guiding team performance, ensuring consistent adherence to compliance and operational standards, coordinating cross functional workflows, and fostering a culture of accountability, continuous improvement, and employee development.

Qualifications

Required Education/Experience
  • High School Diploma/GED and 5 years of related work experience. or
  • Associate's Degree and 4 years of related work experience. or
  • Bachelor's Degree and 3 years of related work experience.
Relevant Work Experience
  • Strong technical use/knowledge of Microsoft Word and Excel, required.
  • Strong technical knowledge/use of Oracle Finance and Supply Chain, P-Cards, stock and non-stock supplies, required.
  • Strong verbal, written and interpersonal skills, required.
  • Demonstrate a strong commitment and focus on providing good customer service, required.
  • Experience with the Oracle Business Intelligence application, required.
  • Field experience and knowledge of the electric distribution system, preferred.
Licenses and Certifications
  • Driver's License Required
Additional Physical Demands
  • The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.
  • Must push, pull, lift up to 25 pounds.
  • Must be able and willing to travel within Company service territory, as needed.
