Position Overview

QinetiQ US is seeking a well-qualified and seasoned Senior Executive Administrator to provide support to a Department of War client located in Chantilly VA. The Candidate will be responsible for the day-to-day oversight and calendar management of multiple senior level Government leaders and their supporting Directors.



Responsibilities

    Successful candidates should be familiar with DoW policy and regulations on executive calendar management and applicable DoD policies and regulations
  • Be the sole Point of Contact and main POC conducting day-to-day calendar management of multiple SES and senior government officials
  • These program support personnel shall perform both general office duties (e.g., answering telephones, typing, and filing) and advanced administrative support activities that require independent judgment and a thorough knowledge of policies and procedures (e.g., Pentagon level interface, setting up and completing
    travel documents for the Government staff).
  • Be familiar with software packages including, but not limited to, Microsoft Office Suite (MS) (i.e. Word, Excel, PowerPoint, Outlook Calendar, Project, Internet Explorer, and Access), and Adobe Acrobat Reader (Adobe). It is preferred program support personnel be familiar with Defense Travel System (DTS).
  • Responsible for tracking and coordinating all taskers/drills/exercises within the office to ensure no deadlines are missed.
  • Responsible for arranging travel for Government personnel in the DTS, including preparing authorizations and vouchers (local and non-local). Invitational orders may also be
    required, as well as international travel.
  • Responsible for managing office leadership calendars, organizing office level meetings, coordinating website updates, facilitating transmission of clearances.
  • Facilitate external meetings, working groups, and technical and operational challenge interchange meetings. Duties include agenda production. These meetings must be in accordance with the current DoD Conference Guidance.
  • Assist with classified communications such as arrangement and logistics involved with classified video conferences and teleconferences.
  • Responsible to take on administrative tasking as required
  • Responsible for routing administrative front office functions such as but not limited to:
  • Managing calendars, escorting visitors, facilitating clearances and building passes,coordinating ans scheduling conference rooms, VTC's and secure phone calls, ordering office supplies, organizing farewell photos/events, ordering business cards, drafting internal/external correspondence.
  • Special projects as desired


Required Qualifications

  • 15 years of administrative support experience
  • Prior Department of War experience supporting SES and General Officers
  • Prior experience with DTS
  • Active TS/SCI Clearance


Preferred Qualifications

  • Bachelor's Degree
  • Former military and/or Navy Yeoman experience
