The Human Resources Coordinator provides professional administrative support to the Employee Records Group within the Human Resources Directorate. The selected candidate will interact extensively with Human Resources staff, Brookhaven National Laboratory (BNL) employees, visitors, and external partners.

Through accurate records management and reliable HR data processes, this role supports the Laboratory's workforce operations and contributes to the mission of advancing scientific discovery and innovation.

This position supports the Workday system-particularly Core HCM (Human Capital Management)-including employee data, organizational structure, and related business processes. The role is responsible for maintaining accurate employee records for active and terminated BNL employees and guest populations while ensuring data integrity, confidentiality, and compliance with Laboratory policies and procedures. Responsibilities include the processing, maintenance, storage, and retrieval of employee records in support of HR operations across the Laboratory

About the Team:

The Employee Records Group supports the Laboratory by maintaining accurate employee records and ensuring HR data integrity throughout the employee lifecycle, working closely with HR partners and utilizing the Workday system to support critical Human Resources operations.

Essential Duties and Responsibilities:

  • Assist with employee records support for assigned programs by responding to inquiries and coordinating requests with HR staff, the broader BNL community, and external partners while ensuring accurate processing and maintenance of employee records.

  • Process employee lifecycle transactions in Workday, including new hires, onboarding support, employee job changes, and terminations, while monitoring Workday inbox and business process tasks to ensure timely completion and compliance with HR procedures.

  • Maintain and update employee data within Workday Core HCM, ensuring the accuracy and integrity of employee job, personal, and employment information and supporting ongoing monitoring, review, and auditing of HR records and data.

  • Support records management activities including preparing and maintaining electronic retention files, retrieving and managing documentation related to HR functions, and ensuring records are maintained in accordance with established policies and procedures.

  • Process BNL guest registrations using the Guest Information System (GIS) and coordinate related documentation and recordkeeping activities.

  • Provide information and assistance to the BNL community regarding employee records processes and HR procedures while maintaining strict confidentiality when handling sensitive employee information and documentation.

  • Coordinate employee administrative processes including requesting BNL ID badges, reviewing appointment status documentation, and working with USCIS-related documentation and visa classifications when applicable.

  • Process and track applications related to the Energy Employees Occupational Illness Compensation Program Act (EEOICPA), ensuring accurate documentation and detailed recordkeeping.

  • Support the administration of HR Consultants, assist with scheduled and ad-hoc reviews and audits, retrieve physical records when necessary, and support special projects, including work related to Compensation and other HR initiatives.

Required Knowledge, Skills, and Abilities:

  • Bachelor's degree in a business or related field, or equivalent experience, generally on the basis of 2:1 (experience: college) years.

  • Strong computer proficiency with Microsoft Office Suite, including Teams, Word, Excel, and Outlook.

  • Experience using a Human Capital Management (HCM) system, including accurate data entry, records management, and information retrieval.

  • Proven ability to maintain strict confidentiality and discretion when handling sensitive information.

  • Ability to communicate effectively with individuals at all organizational levels, demonstrating strong written and verbal communication skills.

  • Strong organizational, time management, customer service, and prioritization skills.

  • Demonstrated attention to detail and commitment to maintaining high levels of data accuracy and integrity.

  • Strong customer service mindset and ability to work collaboratively within a team environment.

Preferred Knowledge, Skills, and Abilities:

  • Experience in a prior role such as HR Assistant, Staff Assistant, or similar human resources administrative position.

  • Familiarity with United States Citizenship and Immigration Services (USCIS) documentation requirements related to work visas.

  • Experience using a modern Human Capital Management (HCM) system, such as Workday Core HCM, including employee data management, business process transactions, and HR reporting.

Environmental, Health & Safety Requirements:

  • Ability to lift and move boxes up to 30 lbs.

  • Ability to bend and reach into file storage areas, including files located at ground level and above shoulder height.

Other Information:

  • This is an on-site full-time role based at the Lab in Upton, NY (Long Island).

  • This position is not eligible for visa sponsorship.

Brookhaven National Laboratory is committed to providing fair, equitable and competitive compensation. The full salary range for this position is $68600 - $78800 / year. Salary offers will be commensurate with the final candidate's qualification, education and experience and considered with the internal peer group.
