Position Summary:
We have an exciting opportunity to join our team as a Program Coordinator.

The NYU Langone Center for Opioid Epidemiology and Policy (COEP) is seeking a Program Coordinator to support the operations, core projects and initiatives of the Center. The mission of COEP is to advance overdose prevention and substance use epidemiology, alleviate substance-related harms and promote health equity through innovative research, comprehensive training, and effective dissemination. The Program Coordinator will play a central role in supporting COEPs core initiatives by integrating program administration, event and program management, dissemination and communications, and operational support to ensure the Centers activities run smoothly and effectively. The Program Coordinator will provide high-level administrative and operational support to the Center Director, faculty and staff members, ensuring that COEP activities and initiatives run smoothly and efficiently. The position integrates program and event management with day-to-day logistics to support seamless coordination and impactful engagement across the Center. Responsibilities include managing schedules and communications, coordinating team meetings and events, managing the Center newsletter, website and other dissemination materials, assisting with Center grant submissions and pilot grant program, assisting with administrative tasks including scheduling, processing invoices and contract agreements, among others as detailed below.

Job Responsibilities:

    1. Lead the planning, scheduling and coordination of team meetings, Center seminars, conferences and other events. This will include overseeing room reservations, catering orders, virtual webinar/IT setup, event communication and attendee registration, and maintaining meeting agendas, notes and summaries.
    2. Provide administrative support to the Center Director by managing the Directors calendar and meeting schedule with both internal and external collaborators and affiliates
    3. Coordinate COEPs communications and outreach by maintaining dynamic, up-to-date website content; managing the Centers listserv; and creating and disseminating a monthly Center newsletter with lay-term research summaries.
    4. Provide administrative support for Center grant proposals including gathering relevant Center and faculty materials, and coordinating timelines and submission materials with Department grant administrative staff.
    5. Support Center human resource operations by onboarding volunteers and Sponsored Individuals; managing office space, processing invoices, honoraria, travel reimbursements, and contracts; and ensuring accurate biweekly staff timesheets.
    6. Serve as a liaison to other Department/Division administrators and NYU Langone Departments to support or troubleshoot needs of Center faculty and staff (e.g. IT, finance, grants administration).
    7. Collaborate with Center Director and Division Administrator to track the Centers budget and expenses.
    8. Coordinate key components of the COEP Pilot Project Grant Program, including application materials, application process, organizing review sessions, and communicating with grantees.

Minimum Qualifications:
To qualify you must have a Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience. Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook. Familiar with Internet applications. Effective oral, written, communication, interpersonal skills. Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers. Ability to work within a team environment as well as independently. Time management skills and ability to work well under pressure. Ability to Project/Program manage and to multi task while paying attention to details.

Preferred Qualifications:
Master's degree in health administration or public health.
Minimum of three years of progressively responsible related experience, including program/project coordination or an equivalent combination of education and experience.
Demonstrated experience coordinating complex collaborative projects and/or grant submissions across sectors.
Comfort working with stakeholders from a variety of backgrounds including government, academia, media, and non-profit organizations.
Experience disseminating research or similar content via written, graphic, or multi-media communication.
Prior experience and/or interest in epidemiology, public health or substance use research areas.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $66,300.00 - $70,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
