General Notes

Please no phone calls or emails. The projected end date for this temporary assignment is June 12, 2026. Please note that this assignment is 25 hours per week from 10:00 a.m. to 3:00 p.m.

Purpose

Provide administrative support in the Department of Asian Studies. Will support the department manager in preparation for the 26/27 academic year.

Responsibilities
  • Coordinate daily activities at front desk area. Answering telephone calls. Greeting visitors and directing inquiries from students and the public. Run errands and coordinate mail. Maintain an accessible and functional office with organized filing, well stocked supplies and operating facilities and equipment. Maintain break room supply inventory. Manage rooms reservation system for events and meetings and prepare meeting room for events. Maintain a calendar and update the department's website with current news and events. Prepare all fliers and announcements to distribute to faculty and students. Assist with seminars, conferences, graduation, and other special events planning.

  • Provide general office support with course instructor surveys and other academic support. Manage department social media accounts. Book restaurant reservations and facilitate the proper billing procedures. Management of two RICOH copiers on 4th and 5th floors ordering supplies and managing controlled access (address book) to systems. Process desk and exam copy requests. Process and order all faculty item requests. Assist with new faculty computer set-up, instructional supply purchases (books, etc.), general guidance/direction regarding UT. Assist Department Manager with coordination and movement of furniture and files within department as well as obtaining new furniture from surplus and sending old off site to surplus.

Required Qualifications

Bachelor's degree, one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience. Excellent interpersonal and communication skills and a professional demeanor. Accuracy in grammar and punctuation. Outstanding organizational skills. Attention to detail. Demonstrated ability to learn tasks quickly with minimal training and supervision. Flexibility with shifting priorities. Ability to maintain confidentiality. Regular and punctual attendance. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than the required years of experience with clerical functions. Experience working in the front office in a educational setting. Experience using a combination copier/printer/scanner, Microsoft Word, Excel software Windows environment.

Hourly Rate

$20.00
