Essential Job Duties
The Program Assistant provides comprehensive programmatic, operational, and administrative support for the Belk Center's initiatives. This role helps coordinate programs, events, communications, and daily operations that advance the Center's strategic priorities while ensuring a professional and responsive experience for internal and external stakeholders.
Key Responsibilities


Program and Event Coordination

  • Assist with planning and coordinating workshops, convenings, and other program-related events led by the Belk Center's Leadership and Research teams.
  • Coordinate event logistics including venue reservations, catering, equipment setup, attendee registration, printing, supplies, and materials.
  • Collaborate with presenters, vendors, and campus partners to support successful event execution.
  • Collect, maintain, analyze, and report program participation and outcome data.
  • Provide notetaking, facilitation, and related support for meetings and program activities.




Office Oversight

  • Coordinate schedules for program events, team meetings, stakeholder engagements, and conference room reservations.
  • Manage correspondence, records, databases, office supplies, deliveries, and parking logistics for the Belk Center.
  • Serve as building security liaison and support front-office functions including greeting visitors and answering phones.
  • Maintain staff work and vacation schedules and support operational coordination activities.
  • Develop and maintain knowledge of the Belk Center's mission, services, and operational priorities to support evolving organizational needs.
  • Perform additional administrative duties assigned by leadership in support of the Belk Center mission.



Administrative Support

  • Provide operational and administrative support to ensure efficient day-to-day office functions.
  • Assist with reports, travel documentation, receipt reconciliation, and reimbursement processes in accordance with university procedures.
  • Coordinate calendars, schedule meetings, and manage logistics for team and stakeholder activities.
  • Support correspondence, document preparation, and executive-level administrative functions as needed.
  • Collaborate with business and finance staff to support operational processes and compliance requirements.



Key Qualifications

  • Experience in administrative roles, preferably in an educational setting.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Suite) and familiarity with database management.

Other Responsibilities

  • Full-time position located at NC State University.
  • This position is anticipated to be primarily on-site (a minimum of 80% of the time), given the nature of the duties and responsibilities outlined in the job description, which require consistent in-person engagement and coordination.
  • Office environment with some local travel required for events and meetings

Qualifications




Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Preferred Qualifications

  • Experience providing administrative or program support in a higher education, educational, communications, or related environment.
  • Demonstrated ability to coordinate events, meetings, or program activities, including logistics, scheduling, and stakeholder communication.
  • Experience maintaining records, databases, calendars, or program documentation with strong attention to detail and organization.
  • Proficiency using office and collaboration software such as Microsoft Office Suite, Google Workspace, and database management tools.
  • Strong communication, customer service, and time-management skills, with the ability to manage multiple priorities and support operational processes in a fast-paced environment.
