Policy & Employee Relations Specialist
Summary
The Policy & Employee Relations Specialist provides dual support to employee relations matters while also supporting the research, development, maintenance, and governance of key Human Resources policies. This role partners closely with multiple parties to ensure policies and practices remain compliant with federal, state, and local requirements, are operationally sound, and support consistent employee experience across the Organization. The role also supports the employee relations function with investigations, performance management and other related tasks.
Key Responsibilities
- Primary responsibility for research, selection, implementation and administration of document management tool for policy development/approval, archival, publication and employee acknowledgement of receipt. Includes collaboration with other stakeholders as needed.
- Primary responsibility for administration of employee HR-related compliance training. This includes coordination of content review, identification and application of needed customization, implementation, communication, enrollments and completions.
- Evaluate and manage vendor resources related to employee conduct, policy document management and compliance training (e.g., anti-harassment training). This includes serving as liaison regarding pricing and contract matters and for internal Supplier Management/Legal review processes.
- Assist in development, review, update and maintenance of HR policies and employee handbooks. Also related guidance/training to ensure legal compliance and alignment with company and industry standards.
- Assist in maintenance of a structured, cyclical policy review process; coordinate annual policy review/approval workflows and publish updates (e.g., intranet, employee handbooks) following completion of governance steps.
- Assist in monitoring and interpreting federal, state, and local employment laws and emerging risks across multiple markets; assess operational impact and recommend policy/practice changes when warranted. Collaborate with HR leadership and Legal resources as needed/required.
- Oversee associated compliance materials (e.g., required employment posters) and ensure annual updates across applicable states and municipalities. Cross reference materials with policy and advice on needed adjustments.
- Assist in administration of the organization's tuition reimbursement program.
- Assist in employee relations matters including workplace investigations, policy/issue resolution, progressive discipline, performance management, and employee separations.
- Support and coordinate responses to internal/external employment compliance audits and EEO-related matters.
- Conduct prompt, thorough investigations of employee concerns: gather and evaluate documentation, interview parties and witnesses, coordinate with stakeholders and Legal as needed, and recommend appropriate resolution.
- Develop thorough, accurate documentation of investigations from planning phase through resolution.
- Provide consultation to leaders and employees regarding interpretation and application of HR policies, procedures, and employment laws.
- Other duties assigned to support policy or employee relations efforts.
- Develop thorough and accurate procedures for job duties and cross training of same.
Qualifications
- Qualified candidates will possess 5+ years of progressive Human Resources experience with significant focus in policy development/maintenance, including demonstrated knowledge of federal, state, and local employment laws and regulations employee relations, investigations.
- Bachelor's degree in human resources, Business, or a related field (or equivalent experience) required.
- Strong research and analytical skills with the ability to interpret regulations, evaluate risk, and translate requirements into practical policy guidance.
- Excellent verbal and written communication skills; ability to convey complex information to employees and leaders at all levels.
- Strong interpersonal and consultative skills with the ability to influence, collaborate, and exercise sound judgment while managing sensitive matters.
- Ability to display high level of tact, diplomacy and professionalism at all times.
- Ability to effectively operate in a dual reporting structure
- Proven organizational and project management skills; ability to manage competing priorities in a fast-paced environment.
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Demonstrated investigative skills, including interviewing, documentation, analysis, and clear written findings/recommendations.
- Experience across multi-state employment law environments preferred (e.g., Oklahoma, Arizona, Colorado, California).
- SHRM-CP/SHRM-SCP or PHR/SPHR certification preferred.
