DESCRIPTION OF WORK

This position supports the coordination of medical appointments and related documentation for residents of the Southeastern Veterans Center. The work requires strong communication, attention to detail, and steady follow through to keep all scheduling activities on track. As a Clerical Assistant 2, you will perform the following duties:
- Appointment Scheduling: Arrange medical, dental, and specialty appointments for residents and keep all related records current
- Documentation Handling: Prepare, obtain, and distribute required forms, consents, and medical information for procedures and consultations
- Coordination Work: Communicate with nursing, transportation, and outside providers to organize schedules and ensure timely follow up
- Record Maintenance: Log appointments, track referrals, and update appointment books and related service records
- Provider Communication: Work with federal VA facilities, hospitals, and specialists to support resident care and share needed information
- Operational Support: Assist with transportation arrangements, switchboard coverage, and other facility duties as needed

Work Schedule and Additional Information:
- Full-time employment.
- Work hours are 7:30 AM - 3:30 PM, Monday - Friday, with a 30-minute lunch.
- Telework: You will not have the option to telework in this position.
- Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS Minimum Experience and Training Requirements:
- Six months as a Clerical Assistant 1 (Commonwealth job title); or
- Graduation from high school; or
- An equivalent combination of experience and training.
Additional Requirements:
- You must be able to perform essential job functions.
This position is subject to the provisions of a collective bargaining agreement or memorandum of understanding.
Preferred Requirements (not required):
- Highest level of education such as master's degree, bachelor's degree, associate's degree, some college, high school diploma, GED, 8th grade, or other.
- Previous experience working in a long-term care or large healthcare facility.
- Previous clerical experience.
- Previous experience working with Microsoft Excel.
- Previous office work experience.
Legal Requirements:
- A conditional offer of employment will require a medical examination.
- This position falls under the provisions of the Older Adult Protective Services Act.
- Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
