WHAT YOU WILL DO
The Rebuild Coordinator is responsible for overseeing and coordinating all aspects of equipment rebuild projects within the shop. This role serves as the central point of communication between customers, technicians, and internal departments to ensure rebuild jobs are completed safely, efficiently, and to customer expectations.
This position blends administrative coordination with hands-on technical involvement, requiring strong mechanical knowledge and the ability to support the rebuild team as needed.
ESSENTIAL DUTIES & RESPONSIBILITIES


  • Manage assigned rebuild work orders from intake through completion
  • Coordinate all aspects of rebuild jobs, including scheduling, parts ordering, and job progression
  • Serve as the primary point of contact for customers, providing updates via phone and email throughout the rebuild process
  • Review, track, and maintain accuracy of work orders, ensuring proper documentation and billing alignment
  • Assign and coordinate work activities among technicians in collaboration with shop leadership
  • Monitor job progress, identify delays or issues, and proactively drive resolution
  • Order and track parts based on approved quotes and job requirements
  • Participate in weekly or routine internal and customer update calls regarding rebuild status
  • Ensure rebuild projects meet quality, timeline, and cost expectations
  • Provide technical support and hands-on assistance to technicians during rebuilds when needed
  • Collaborate with service, parts, and operations teams to ensure seamless execution of rebuild projects
  • Maintain a safe, clean, and organized work environment in accordance with company standards
  • Perform all other duties as assigned

BASIC QUALIFICATIONS - EDUCATION & EXPERIENCE


  • High school diploma or equivalent required
  • Technical training or certification in diesel, heavy equipment, or related field preferred
  • 3+ years of experience in heavy equipment service, rebuilds, or shop operations
  • Prior experience in a lead, coordinator, or senior technician role strongly preferred
  • Experience working with work orders, service systems, or maintenance tracking tools


KNOWLEDGE, TECHNICAL SKILLS, & ABILITIES


  • Strong working knowledge of heavy equipment systems and rebuild processes
  • Ability to read and interpret quotes, job scopes, and technical specifications
  • Proven ability to coordinate multiple projects and priorities simultaneously
  • Strong communication skills with the ability to interact effectively with customers and internal teams
  • Basic computer proficiency (Microsoft Office, service management systems, etc.)
  • Strong organizational and problem-solving skills
  • Ability to work in a fast-paced environment while maintaining attention to detail
  • Leadership mindset with the ability to guide and support technicians without formal supervisory authority
  • Commitment to safety, quality workmanship, and customer satisfaction
