Job Summary:

The Program Coordinator on the Philanthropic Growth and Data Insights team is a key contributor for the Office of Advancement at CU Anschutz. This position reports to the Managing Director of Development, Data Insights and will support reporting, analytics, technology roadmap, portfolio development, and data stewardship projects. Under minimal supervision, the Program Coordinator is responsible for creating, implementing and revising procedures around Data Insights project management and change management processes. The Program Coordinator will leverage knowledge of Advancement's CU Ascend CRM and Advancement Intelligence reporting tool to support data entry and maintenance, ad hoc reporting and analysis, and identification of training for other team members in these resources. The Program Coordinator works closely with Data Insights staff, Advancement stakeholders, and campus and system partners to ensure projects are effectively planned, communicated, and implemented.

Supports administrative decision making and takes action in the manager's absence, to include establishing project timelines and implementing with project management software, scheduling and adjusting project scopes and timelines as priorities shift, and supporting project management efforts. Additional duties are outlined below.

Key Responsibilities:

Data Insights Project & Portfolio Management - 60%

  • Using project management tool (Asana), manage Data Insights project queue through request intake, requirements gathering, scope definition, tracking tool management, status updates communication, and project debriefs and documentation. Facilitates intake, triage and prioritization of project requests from Data Insights form submissions and team inbox.

  • Ensures projects and tasks are regularly updated and team members feel empowered to use the tool.

  • Schedules, creates agendas for, and leads project launch meetings as needed.

  • In partnership with Data Insights colleagues, communicates project scope and individual team member responsibilities to all stakeholders and captures items in Asana.

  • Takes detailed and clear notes during project meetings and disseminates information and assigned action items to the appropriate partners.

  • Technology roadmap and enhancement projects - attends cross-campus project meetings, often alongside Managing Director and other campus representatives, to ensure updates are captured, questions triaged and answered, and action items executed.

  • Portfolio development process - alongside Executive Strategist, Development Assistant and System Advancement liaisons, facilitates internal aspects of weekly referral and assignment process.

  • Ensures steps in process are executed and assignments are confirmed, documented and communicated in a timely fashion. Coordinates review from all parties involved, attends weekly meetings and supports follow-up action items.

  • System Advancement ticket reviews - participates in monthly Service Cloud ticket reviews with Managing Director and System Advancement Service Delivery team, to ensure campus colleagues' requests are being properly communicated, prioritized and addressed.

  • Develops and maintains project management standards, templates, reports and documentation.

Change Management & Data Enablement - 25%

  • Supports change management by coordinating rollout and communications plans for new analytics, reporting and CRM initiatives (including user guides and how-to-videos), in partnership with Data Insights colleagues.

  • Gathers stakeholder feedback and identifies opportunities for continuous improvement.

  • Works with Managing Director to develop ongoing and episodic trainings for Advancement staff on use the of CRM and reporting tools.

  • Assists with data validation efforts on data insights reports and analysis.

  • Serves as an office Advancement Intelligence (AI) data expert, point-person and liaison for data use and compliance.

Administrative/Other Duties - 15%:

  • Performs own clerical and administrative tasks.

  • Assists Data Insights staff with data entry - including on referrals, contact reports, gift modifications, records merges, etc. in Salesforce and project updates in Asana - as needed

  • Utilizes data from Asana, Salesforce and reporting tools to generate requested reports, spreadsheets and correspondence on a routine basis.

  • In partnership with Data Insights colleagues and System Advancement, supports regular data hygiene audits and helps address data quality issues and inconsistencies.

  • Monitors team inbox in Outlook, along with Development Assistant, capturing and triaging new requests for projects, trainings or support.

  • Coordinates agendas for team meetings and monthly training sessions, in partnership with Managing Director and Executive Strategist.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree from an accredited institution.

    • Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.

  • 1 years of professional development, business administration, project management or data analysis experience.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • At least 3 years of professional related work experience.

  • Professional experience working in nonprofit development/fundraising, higher education or health care, with at least 1 year of project management experience.

  • Experience using project management software, such as Asana, Monday or a similar tool.

  • Experience working with donor CRM or database software, such as Salesforce or a similar tool.

  • Experience using reporting and analytics tools, such as Tableau, Power BI or IBM Cognos.

  • Experience with and knowledge of HIPAA rules and regulations

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $55,000 to $70,000.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
