Health Information Team Lead


Job Summary


The Health Information Team Lead provides daily operational leadership and support for the Health Information Management (HIM), Release of Information (ROI), Scanning, and Transcription departments. This position coordinates daily workflows, serves as the primary resource for staff, provides training and coaching, monitors productivity and quality, assists with scheduling and staffing coverage, and promotes compliance with organizational policies and regulatory requirements. The Team Lead partners with the HIM Manager to improve operational efficiency, implement process improvements, and ensure exceptional customer service across all assigned departments.












Essential Functions

Coordinates daily operations for the HIM, Release of Information, Scanning, and Transcription departments by monitoring workloads, prioritizing assignments, ensuring appropriate staffing coverage, coordinating transcription workflows, and maintaining efficient operations and service standards.

Serves as the department's lead resource by providing guidance, answering questions, training and onboarding employees, mentoring staff, communicating process changes, resolving operational issues, and promoting teamwork and customer service excellence across all assigned departments.

Monitors departmental quality, productivity, and compliance, including turnaround times, transcription accuracy, and adherence to HIPAA, organizational policies, accreditation standards, and federal and state regulations.

Performs quality reviews and drives process improvement by identifying workflow improvements, assisting with implementation of corrective actions, and supporting continuous process improvement initiatives.

Assists the HIM Manager and Supervisor with scheduling, productivity reporting, interview participation, employee coaching, departmental meetings, implementation of new workflows and software enhancements; serves as department lead in the manager's absence.

Maintains departmental supplies and equipment, responds to internal and external customer inquiries, and assists with resolving complex HIM, ROI, scanning, and transcription issues.

Supports departmental and organizational initiatives as assigned, contributing to broader HIM and organizational goals.

Knowledge, Skills & Abilities







Working knowledge of HIPAA, HITECH, and other federal and state regulations governing health information privacy, security, and release.



Familiarity with electronic health record (EHR) systems (e.g., Epic) and document imaging/scanning platforms.



Strong organizational and time-management skills with the ability to coordinate multiple workflows and competing priorities.



Effective verbal and written communication skills, with the ability to train, coach, and provide constructive feedback to staff.



Sound judgment and problem-solving skills, with the ability to identify issues and recommend or implement solutions



Proficiency with Microsoft Office and standard office/productivity software.




Work Experience






1-3 years



in Health Information Management, Release of Information, Scanning, or Transcription operations



Required

prior lead, supervisory, or demonstrated informal leadership experience

Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) credential
