DESCRIPTION

Under general supervision of the Business Officer, the Administrative Assistant provides advanced administrative and operational support to leadership teams, departments, and programs. Serves as a resource person for inquiries. Responsible for managing and maintaining complex calendars, coordinating meetings, and supporting onboarding of new hires activities. Reviews, monitors and reconciles timecards. Maintains employee and regulatory documentation, supports audit readiness, and prepares reports, dashboards, and correspondence to support departmental decision-making. Performs other duties as assigned.

MINIMUM QUALIFICATIONS
  • Three (3) years of administrative healthcare experience or other relevant experience.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint and Teams).
  • Strong organizational, multitasking, and time management skills.
  • Ability to maintain confidentiality.
  • Excellent written and verbal communication skills.
PREFERRED QUALIFICATIONS
  • Experience supporting senior leadership in a complex organization (e.g., higher education, healthcare, or similar environment).
  • Working knowledge of UCSD or comparable institutional policies, procedures, and systems.
  • Experience with enterprise systems such as financial, procurement, payroll, or HR systems (e.g., Oracle, Concur, or similar).
  • Demonstrated experience coordinating projects, events, or department initiatives.
  • Advanced Excel skills and experience with data tracking, reporting, or analysis.
  • Strong customer service orientation with ability to anticipate needs and provide proactive solutions.
  • Medical Terminology training or certificate.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
