Facilities Coordinator - JLL

What this job involves:

JLL is seeking a detail-oriented Violations Coordinator to serve as the central hub for managing compliance violations across the Capital One portfolio. This role is essential to maintaining operational continuity by tracking, documenting, and resolving compliance issues efficiently. You will collaborate closely with Facility Managers, vendors, municipalities, project teams, and internal stakeholders to ensure all violations are addressed promptly and accurately. Your expertise in research, documentation, and cross-functional coordination will directly support Capital One's facilities operations and drive continuous improvement in compliance management processes.

What your day-to-day will look like:

  • Oversee and manage incoming inquiries within the shared department inbox
  • Monitor the entire lifecycle of active violations from initial alert through final resolution, documenting milestones, vendor efforts, and municipal communications
  • Review and audit funding requests, invoices, payments, and supporting documentation
  • Collaborate with facility managers, vendors, and local authorities to expedite issue resolution and ensure operational compliance
  • Investigate recurring violations by researching regulatory frameworks, property ownership, and historical records to identify root causes
  • Analyze compliance trends, identify operational risks, and propose opportunities for procedural standardization and improvement
  • Ensure all trackers and compliance documentation are maintained with high accuracy
  • Support cross-functional initiatives, reporting requirements, and ad-hoc projects as business needs evolve

Required Qualifications:

  • Prior experience working within commercial real estate, facility management, or property operations
  • Proficiency in Microsoft Office and Google Workspace tools, including Microsoft Excel, Google Sheets, and Drive
  • Outstanding verbal and written communication skills paired with a strong commitment to customer service
  • Excellent organizational abilities and proven capability to multitask and manage projects efficiently under tight schedules
  • Ability to maintain composure and professionalism in high-pressure environments
  • Highly self-motivated with the ability to work independently and manage tasks effectively with minimal supervision

Preferred Qualifications:

  • Familiarity with utilizing Corrigo or similar work order tracking systems
  • Experience processing compliance violations and requesting funding in a corporate facilities environment
  • Strong research skills and attention to detail
  • Experience building and maintaining documentation systems
  • Tech-savvy with ability to quickly learn new digital tools and platforms

Location: Richmond, VA or Plano, TX

Work Schedule: Monday-Friday, 8am-5pm

Work Model: Hybrid

Estimated compensation for this position:

45,700.00 - 66,300.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
