Executive Assistant Role Overview

A growing professional services organization is seeking a highly organized, proactive Executive Assistant to provide high-level administrative and operational support to members of senior leadership.

This position is designed for someone who thrives in a fast-moving environment, has exceptional attention to detail and takes ownership without requiring constant direction. The individual will help leadership stay organized, prepared and focused by managing priorities, coordinating logistics and ensuring important commitments are followed through.

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars, meetings and changing priorities for senior leaders
  • Coordinate domestic travel, itineraries and related logistics
  • Assist with expense reporting and administrative documentation
  • Track commitments, deadlines and follow-up items
  • Anticipate scheduling conflicts and proactively resolve issues
  • Handle sensitive and confidential information with discretion
  • Provide support on special assignments and leadership priorities

Communication & Coordination

  • Draft, edit and proofread professional correspondence
  • Communicate with internal and external stakeholders on behalf of leadership when appropriate
  • Coordinate meetings and ensure participants have the information they need
  • Use sound judgment when determining what requires immediate leadership attention
  • Maintain a high level of professionalism across written and verbal communication

Documents & Presentations

  • Prepare and edit professional presentations and leadership materials
  • Develop reports, spreadsheets, meeting documents and other business materials
  • Consolidate information from multiple sources into clear and organized formats
  • Review materials carefully for accuracy, consistency and presentation quality

Project Support

  • Assist with projects from initial planning through completion
  • Maintain action-item lists, timelines and project documentation
  • Coordinate meetings, events and related logistics
  • Support general business processes, documentation and record keeping
  • Identify opportunities to improve organization and administrative efficiency

Qualifications
  • 3+ years of administrative, executive support, operations or comparable professional experience
  • Experience supporting leaders in a fast-paced professional environment
  • Strong proficiency with Microsoft Outlook, Excel, Word and PowerPoint
  • Experience coordinating calendars, meetings and travel
  • Strong written and verbal communication skills
  • Excellent organizational and proofreading skills
  • Ability to manage multiple priorities and deadlines
  • Demonstrated discretion when handling confidential information
  • Ability to work independently and exercise sound judgment
Preferred Experience
  • Previous support of senior or executive-level leadership
  • Experience developing professional presentations and leadership materials
  • Experience coordinating complex meetings, events or projects
  • Experience working within a growing or rapidly changing organization
  • Bachelor's degree or equivalent combination of education and professional experience
